Job Description

We are seeking a professional and personable Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As the first point of contact for our company, our Receptionist's primary duties include offering administrative support across the organization. You will be the “face” of the company for all visitors and will be responsible for the first impression we make. The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. You should be able to deal with complaints and give accurate information. A customer-oriented approach is essential. The goal is to make guests and visitors feel comfortable and valued while on our premises.


Responsibilities

  • Greet and welcome guests promptly as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office efficiently.
  • Answer, screen, and forward incoming phone calls promptly.
  • Ensure reception area is tidy and presentable with all necessary resources.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries effectively.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep inventory of stock for efficient operations.
  • Update calendars and schedule meetings for efficient time management.
  • Arrange travel and accommodations and prepare vouchers as needed.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
  • Support office management and administration tasks as required.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite for efficient office administration tasks.
  • Hands-on experience with office equipment such as fax machines and printers.
  • Professional attitude and appearance to represent the company well.
  • Strong written and verbal communication skills for effective client interaction.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Excellent organizational skills and the ability to multitask efficiently.
  • Customer service attitude with attention to detail is essential.
  • High school degree; additional certification in Office Management is a plus.
