Job Description

Overview:

We are seeking a detail-oriented and reliable Administrative Assistant to provide real estate support with a strong focus on paperwork preparation, data entry, and documentation management. This role will primarily handle backend tasks to ensure smooth operations, while also assisting with light client communication when necessary.


Schedule: Monday-Friday 9:30-6:00 pm EST

Key Responsibilities:

  • Prepare and process listing paperwork and documentation.
  • Order gas line encroachments and conduct title/records searches for real estate listings.
  • Enter receipts and financial data into QuickBooks or similar software.
  • Handle basic invoicing, bookkeeping, and accounting-related tasks.
  • Maintain organized digital and physical records.
  • Input client details into CRMs and update databases.
  • Assist with website-related tasks such as posting listings or updates.
  • Send review requests and follow up with clients via email or text to gather missing information.
  • Provide occasional support in sending texts/emails to new leads and making occasional calls.
  • Support the existing assistant by taking on paperwork-heavy and data-focused responsibilities.


Requirements:

  • Strong English communication skills with no language barriers.
  • Proven administrative experience with excellent attention to detail.
  • Experience with document processing and data entry.
  • Familiarity with QuickBooks (or similar accounting tools) preferred.
  • Basic accounting or bookkeeping knowledge is an advantage.
  • Real estate industry experience is a plus but not required.
  • Ability to work independently, manage multiple priorities, and meet deadlines.

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
