Our client is seeking a detail-oriented, systematic QuickBooks Bookkeeper (AP/AR & Reconciliations) to serve as the financial backbone of a growing business portfolio. In this role, you will manage comprehensive full-cycle bookkeeping operations across three distinct companies while contributing to broader operational initiatives. Working directly with business leadership, this position offers variety, professional growth, and the opportunity to support diverse administrative projects. The ideal candidate is highly organized and thoroughly experienced in managing financial accounts across multiple entities under both LLC and C-Corporation structures.
Schedule
Monday - Friday, 9:00 AM - 6:00 PM Houston, TX Time, with 1 hour unpaid break (40 hours per week)
Responsibilities
Bookkeeping & Financial Management: Manage full-cycle bookkeeping operations for three separate business entities using QuickBooks; maintain accurate financial records tailored for both LLC and C-Corporation structures.
Ledger Reconciliation: Record, categorize, and reconcile financial transactions across multiple companies; perform comprehensive bank, credit card, and inter-company account reconciliations.
AP/AR Control: Manage accounts payable and accounts receivable processes; generate and distribute client invoices while tracking outstanding payments and collections.
Period-End Operations: Assist with comprehensive month-end and year-end bookkeeping close activities, ensuring complete accuracy and compliance with internal financial procedures.
Operational & Administrative Support: Provide proactive administrative and operational support during periods of lower bookkeeping workload; support leadership with custom data reporting, file synchronization, and special business projects.
Process Optimization: Help improve and streamline internal administrative processes while organizing core corporate records and documentation.
Requirements
U.S. Client Support: Proven experience as a Bookkeeper supporting U.S.-based clients, including foundational knowledge and experience with U.S. tax returns.
Professional Experience: Minimum of 3 years of dedicated corporate bookkeeping experience.
Multi-Entity Management: Proven professional experience managing bookkeeping functions for multiple businesses simultaneously.
Corporate Structure Literacy: Practical experience working with the regulatory tracking nuances of both LLC and C-Corporation business structures.
Accounting Foundations: Strong operational understanding of general bookkeeping principles, accounts payable, accounts receivable, and complex ledger invoicing.
Technical Infrastructure: Proficiency working with Microsoft Excel and Google Sheets alongside a reliable remote workspace setup.
Linguistic Standard: Strong written and verbal English communication skills for reporting and stakeholder collaboration.
Autonomy: Strong communication skills with the demonstrated ability to work independently.
Qualifications
Experience supporting small businesses, fast-moving startups, or independent entrepreneurs is preferred.
Prior experience providing hybrid administrative, operational, or executive virtual support.
Familiarity with introductory financial reporting models and cash flow monitoring workflows.
Experience working remotely with international corporate teams.
