Job Overview

A growing real estate firm with residential and commercial properties in New York is seeking a part-time Property Management Virtual Assistant (Mon-Fri, 9:00 AM–1:00 PM EST). In this remote role, you will act as the owner's right-hand assistant, managing day-to-day administrative operations using fully templated systems and organized workflows. Responsibilities include handling tenant communications via Google Voice, managing leases through RentReady and DocuSign, and performing basic expense tracking in QuickBooks. This position requires strong organizational skills, excellent written English, and the ability to proactively manage multiple software platforms.


Schedule

Mon-Fri, 9 am - 1 pm EST (20 hours per week)


Responsibilities

  • Monitor and respond to tenant inquiries and maintenance requests through the RentReady portal
  • Coordinate property showings and communicate with tenants regarding lease matters
  • Manage lease renewals and exits using pre-existing templates for welcome letters and move-out procedures
  • Serve as the primary point of contact between tenants and property owner through Google Voice communications
  • Track lease timelines and coordinate with local leasing agent and on-ground key holder
  • Handle basic bookkeeping tasks including expense tracking and credit card reconciliation in QuickBooks
  • Manage documentation and communications through DocuSign for lease agreements
  • Maintain organized records across Google Workspace including calendars, sheets, and docs


Requirements

  • Strong organizational skills with attention to detail and ability to track multiple timelines
  • Excellent written communication skills for professional tenant correspondence
  • Comfortable using multiple software platforms and learning new systems quickly
  • Ability to context switch between different tasks and projects effectively
  • Self-directed work style with ability to monitor systems proactively
  • Experience with Google Workspace including Sheets, Docs, and Calendar
  • Bonus if you have property management or real estate coordination experience
  • Bonus if you have experience with Monday.com or similar project management tools
  • It helps if you have customer support or tenant relations experience
  • It helps if you're familiar with QuickBooks for basic expense tracking
