Project Management Administrator Construction BuilderTrend

Overview:

Our client is looking for a Construction Project & Operations Coordinator (BuilderTrend) to manage everything from daily financial data integrity in BuilderTrend to pre-construction communication and variation drafting. The primary objective of this role is to take full ownership of the administrative burden, allowing the field team to focus on building and the leadership team to concentrate on high-value client consultations and business growth.

Schedule: Monday to Friday, 8:00 AM to 5:00 PM, Sydney Time | With 1-hour unpaid break

Responsibilities:

• Manage and triage the main business email inbox daily, drafting responses for review to act as the frontline defense for leadership
• Review daily site diaries and match incoming supplier invoices and receipts to the correct job budgets in BuilderTrend
• Draft formal variation documents and update quotes in BuilderTrend based on voice or video memos from the field within 1 to 4 hours
• Chase subcontractors for outstanding Requests for Information (RFIs) and Requests for Quote (RFQs)
• Compile preliminary agreement documents and gather client selection documentation (fittings, fixtures, finishes)
• Update job costing daily and generate weekly budget vs. actual reports for leadership review
• Document existing administrative workflows and create a comprehensive Standard Operating Procedure (SOP) library
• Respond to and draft field variations within 1 to 4 hours of receiving a voice or video memo
• Maintain flawless data integrity in BuilderTrend daily so field teams can trust real-time budget numbers
• Proactively build out the company's SOP library during the onboarding phase and keep it updated
• Operate as the absolute frontline for all incoming communications to successfully keep founders out of the raw inbox

Requirements:

• Proven experience in construction administration, contract administration, or project management support
• Strong proficiency in BuilderTrend (or highly adaptable to mastering construction management software quickly)
• Exceptional written communication skills for drafting client and subcontractor emails.
• Ability to quickly transcribe and translate field voice/video memos into formal business documents and quotes
• High attention to detail for operational finance, receipt reconciliation, and real-time budget tracking
• Proactive mindset with experience creating Standard Operating Procedures (SOPs) and knowledge bases
