Job Summary

We are seeking a highly organised and proactive Personal Assistant to provide seamless support across professional, legal, business, and personal responsibilities. This role requires exceptional calendar management, communication handling, legal administrative support, travel coordination, event logistics, and life administration.

The ideal candidate has senior EA/PA experience, thrives in a fast-paced remote environment, and can confidently manage shifting priorities with discretion and sound judgment. Experience in a legal environment, strong attention to detail, and the ability to operate independently while maintaining excellent communication are essential.

This is a unique opportunity for someone who enjoys blending executive support, household coordination, event assistance, and business administration into one dynamic role.

Key Responsibilities

Calendar and schedule management

  • Managing your professional and personal calendar, scheduling appointments, meetings, and social engagements
  • Proactively monitoring deadlines and reminders to ensure nothing falls through the cracks
  • Coordinating across time zones and adjusting schedules when priorities shift

Communications management

  • Screening, triaging, and responding to emails and calls on your behalf, routing urgent matters appropriately
  • Drafting correspondence, follow-ups, and communications in your voice and to your standard
  • Acting as a first point of contact for clients, family, and household service providers, maintaining confidentiality at all times

Legal and professional support

  • Providing administrative support for legal practice needs: document formatting, preparing briefs and correspondence templates, filing documents, and proofreading materials for accuracy
  • Assisting with billing administration, timekeeping entries, and tracking of key deadlines and CPD requirements
  • Conducting background research on legal matters, new business ventures, or personal interests as required

Life administration

  • Offloading the "minutiae" of daily life - travel planning (flights, hotels, and drivers), home management (coordinating gardeners, car servicing, tradespeople), and personal errands
  • Managing supplier and vendor relationships, obtaining quotes, and following up on household service matters
  • Handling personal and family logistics including gift sourcing, reservations, and special occasion planning

Event support

  • Assisting with logistical tasks such as managing seating plans and guest coordination for charity events and social functions
  • Liaising with venues, caterers, and service providers to ensure events run smoothly

Business support

  • Providing administrative assistance for the family real estate business: document formatting, form completion via templates, and payroll checks
  • Supporting general research for new ventures including YouTube content operations and dropshipping business activities
  • Maintaining organised digital and physical filing systems for business and personal records

Qualifications

  • High-Level EA Experience: Proven ability in a senior administrative role with a focus on efficiency.
  • Legal environment familiarity: Comfortable with legal document types, terminology, and the sensitivity and confidentiality standards expected in a law practice
  • Remote Collaboration: Experience working as a "help buddy" who can operate independently while maintaining close communication.
  • Proactive Problem Solving: A track record of exercising strong common sense and the ability to anticipate your needs before they become urgent.
  • Discretion and confidentiality: The highest standard of integrity when handling sensitive personal, family, and client information
