ROLE OVERVIEW

The client is a healthcare clinic focused on treating patients with traumatic brain injuries through specialized rehabilitation services. The organization is currently experiencing growth and increased patient demand, which has created the need to build more scalable and efficient internal systems. Their goal is to optimize patient management workflows, improve operational efficiency, and leverage automation where possible, while maintaining high standards around data privacy and patient care.

About the Role:

The client is looking for a highly analytical and proactive Operations & Systems Specialist who can help participate in, design, optimize, and implement workflows across the business. This is not a task-based role, but rather a position focused on problem solving, system building, and continuous improvement. The ideal candidate will work closely with leadership to identify desired outcomes, develop strategies, and help transition processes into scalable systems through a combination of automation and delegation.

Key Responsibilities

Workflow Optimization & System Building

• Analyzeand participate in existing processes and identify opportunities for improvement and automation
• Collaborate with leadership to design and implement scalable workflows
• Continuously refine systems based on performance and feedback

Operational Support & Execution

• Support ongoing operational initiatives across patient management, backend processes, and business operations
• Ensure workflows are functioning correctly and troubleshoot inefficiencies
• Act as a key contributor in executing and improving internal processes

Automation & Process Improvement

• Work alongside the team to integrate AI tools and automation into daily operations
• Test and validate new systems to ensure accuracy and effectiveness
• Help transition manual processes into automated or delegated workflows

Collaboration & Communication

• Work directly with leadership on strategic initiatives and operational improvements
• Communicate ideas, solutions, and progress clearly and effectively
• Provide input and recommendations based on analysis and observations

Qualifications & Skills

Must Have

• Strong problem solving and critical thinking skills
• High attention to detail and ability to work with complex workflows
• Experience working in operations, systems, or process improvement roles
• Ability to work independently and take ownership of outcomes
• Strong written and verbal communication skills
• Comfort working with digital tools, systems, and AI-driven environments
• Background in operations, engineering mindset, or process design

Preferred

• Experience in healthcare, patient management, or regulated environments
• Familiarity with automation tools, workflows, or system implementation
• Experience working with remote teams or US-based companies
