Job Overview:

Our client is seeking a highly organised Operations and Marketing Assistant to the Founder to support day-to-day business operations, communication management, and marketing coordination.


This role combines elements of a Personal Assistant, Executive Assistant, and Marketing Assistant. The ideal candidate is someone who takes ownership, follows through without needing reminders, and can turn conversations, meetings, and ideas into structured actions. The right person will be comfortable using AI tools, managing Notion workflows, supporting LinkedIn activity, preparing client updates, and helping keep the business running smoothly.


Client Overview:

Our client is a consulting business supporting companies with strategic growth, operations, and business improvement. The company is looking for a highly organised and proactive assistant who can act as an extension of the founder — managing daily operations, communications, documentation, and light marketing activities.


Schedule:

Morning shift starting around 8:00 AM – 9:00 AM UK time (20 work hours per week)


Responsibilities:

Executive & Operational Support

  • Manage and organise email inbox, prioritising urgent messages and ensuring timely follow-ups
  • Draft professional emails, responses, follow-ups, and action plans in the founder’s communication style
  • Manage calendar scheduling, meeting coordination, and occasional travel arrangements
  • Maintain operational processes, SOPs, documentation, and task tracking systems
  • Use Notion to manage projects, tasks, notes, and business documentation
  • Ensure deadlines, priorities, and action items are followed through without constant supervision

Meeting & Client Support

  • Review meeting recordings and AI-generated transcripts
  • Create structured meeting summaries, action plans, and follow-up emails
  • Prepare weekly client-facing updates and presentations
  • Convert information into clear reports using graphs, summaries, and key insights
  • Support professional client communication via email when needed

Marketing & Content Support

  • Manage LinkedIn scheduling and support profile activity
  • Support basic copywriting and content formatting
  • Create simple visuals and presentation materials using Canva

Data & Tools Support

  • Pull reports and information from HubSpot or similar CRM systems
  • Organise data and upload information into AI tools for analysis
  • Use AI platforms to improve workflows, summarise information, and increase efficiency
  • Process receipts, invoices, and organise documents for accounting purposes


Requirements:

  • Previous experience as a Personal Assistant, Executive Assistant, Marketing Assistant, or Operations Assistant
  • Strong organisational skills and ability to manage multiple priorities independently
  • Excellent written English with the ability to adapt communication style
  • Experience using Notion for project management, documentation, or task tracking
  • Comfortable using AI tools (ChatGPT or similar) to improve productivity
  • Experience creating meeting summaries, action plans, and follow-ups


Highly Preferred Qualifications:

  • Experience supporting a founder, consultant, or solo business owner
  • HubSpot or CRM experience
  • Basic graphic design skills (Canva/Figma)
  • Light copywriting or content repurposing experience
  • LinkedIn outreach experience
  • Familiarity with B2B SaaS, consulting, or professional services businesses
  • Comfortable communicating directly with clients via email


Ideal Candidate Profile:

A proactive operator who thinks ahead, takes ownership, and helps remove tasks from the founder’s plate. Someone who is equally comfortable organising a Notion workspace, drafting a client follow-up email, preparing a LinkedIn post, or turning a meeting into a clear execution plan.
