Job Overview

This role requires someone who is HIPAA compliant and can adhere to SOC 2 compliance standards. The ideal candidate will be comfortable working in a fast-paced environment, handling multiple tasks simultaneously, and working independently without constant supervision.


Client Overview

Our client operates in the medical records retrieval industry, serving life insurance companies and law firms. They process approximately 300 orders daily, obtaining medical billing, radiology, imaging, and physician billing records from hospitals, clinics, chiropractor offices, and other healthcare facilities. Due to high demand, they are seeking a Medical Records Coordinator to join their team.


Schedule: Monday - Friday, 7:30 AM - 4:30 PM, Pacific Time (40 hours per week)

Responsibilities

  • Make outbound phone calls to healthcare facilities to follow up on medical record requests and obtain status updates.
  • Answer and respond to emails promptly and professionally
  • Send authorization forms and requests via fax, email, or other methods to the appropriate facilities.
  • Follow up with healthcare providers to ensure the timely retrieval of medical records.
  • Review medical records to verify accuracy, ensuring the correct date of birth, dates of service, and that records match the requested date ranges.
  • Distinguish between different types of medical documentation (medical records vs. billing records)
  • Upload and download records and authorization forms from various websites and platforms.
  • Verify that authorizations contain all required elements (signatures, dates, etc.) before submission.
  • Proactively manage workload by multitasking (e.g., checking emails or preparing new orders while on hold)
  • Push healthcare facilities to expedite record retrieval when urgent turnaround is needed.
  • Ensure all communications are sent to the correct fax numbers and email addresses.
  • Maintain attention to detail to prevent delays in record retrieval


Requirements

  • 2-5 years of experience working with medical records
  • Strong familiarity with medical records and the ability to distinguish between different types of medical documentation
  • HIPAA compliance knowledge and experience
  • Excellent phone communication skills with a clear, easy-to-understand accent
  • Strong, confident personality capable of advocating for urgent requests
  • Proficiency with the Google platform/Google Workspace

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
