About the Role:

We are looking for a dedicated and empathetic Virtual Assistant to join our clinic team. This is a critical role that serves as the first point of contact for our patients. You will be responsible for managing patient communications, ensuring appointments are scheduled accurately, and handling essential billing and administrative tasks to keep our operations running smoothly.


Job Highlights:

  • Hourly Rate: USD 6.30, the equivalent in your local currency
  • Paid Hours per Week: 30 - 40
  • Schedule: Monday to Friday, 10:00 AM – 6:00 PM PST (Pacific Standard Time)
  • Work Arrangement: Work from home
  • Contract: Independent Contractor

Side note: Since this is a permanent work-from-home position and an “Independent Contractor” arrangement, the candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.


Key Responsibilities:

Patient Communication & Scheduling:

  • Act as the primary point of contact for incoming phone calls.
  • Professionally assist patients with scheduling, rescheduling, and cancelling appointments.
  • Answer general patient inquiries with patience and clarity.


Billing & Financial Support:

  • Manage patient billing processes and generate invoices.
  • Assist with insurance verification and claims processing (if applicable).
  • Ensure accurate record-keeping of financial transactions.


Administrative Support:

  • Provide general administrative support to the clinic staff.
  • Update and maintain patient records in our practice management software.
  • Assist with email management and other ad-hoc clerical tasks as needed.


Requirements & Qualifications:

  • Experience: Prior experience as a Virtual Assistant, Medical Receptionist, or in a healthcare administrative role is highly preferred.
  • Communication: Excellent verbal communication skills are a must; you must be comfortable speaking with patients on the phone throughout the day.
  • Technical Skills: Proficiency with medical billing software and general office tools (Google Workspace/Microsoft Office).
  • Organization: Strong attention to detail, especially regarding patient schedules and billing data.
  • Privacy: Understanding of patient confidentiality (HIPAA compliance) is a strong plus.
