Job Overview:

We are seeking 2 detail-oriented and reliable Medical Administration Assistants to support a busy specialist medical practice. This role is primarily focused on administrative and coordination tasks, ensuring the smooth handling of patient records, communications, and scheduling.

This is an account that supports phone calls, emails, and chat inquiries, including booking and managing patient appointments.


Schedule:

  • Monday - Friday, 9:00 AM – 5:00 PM, Adelaide Time (ACST/ACDT)


Responsibilities:

  • Manage and organize digital files (e.g., Dropbox, OneDrive)
  • Monitor, respond to, and action emails and faxes
  • Schedule patient appointments and send reminders
  • Confirm upcoming appointments with patients
  • Send SMS notifications and patient communications
  • Input and update new patient details in the system
  • Attach medical documents to patient clinical records, including:
  • CPAP downloads
  • Sleep study reports
  • Send new patient letters and correspondence
  • Assist with health linking specialist letters
  • Remove and manage attachments within internal systems
  • Maintain accurate and up-to-date patient records


Requirements:

  • Proven experience in administrative support; medical administration experience is highly preferred
  • Strong attention to detail and organizational skills
  • Excellent written English communication skills
  • Ability to work independently and follow structured processes
  • Tech-savvy with experience using cloud storage platforms (e.g., Dropbox, OneDrive)
  • Ability to handle sensitive information with confidentiality


Nice to Have:

  • Experience with Zedmed or similar medical practice management software
  • Background in healthcare or medical administration
  • Experience handling patient records or clinical documentation
