We are seeking a high-level Executive Legal Assistant with executive presence, exceptional communication skills, and operational discipline.

This is not a paralegal role. It is an administrative and operational leadership support role responsible for:

β€’ Ensuring the firm runs smoothly

β€’ Supporting clients effectively

β€’ Keeping matters moving efficiently

You will work directly with the attorney and team to manage client communication, scheduling, workflow systems, and day-to-day operations.

The ideal candidate operates with confidence, precision, and professionalism in every interaction.


βœ… CORE RESPONSIBILITIES


Client Communication & Intake Excellence

β€’ Serve as primary point of contact via phone and email

β€’ Conduct inbound/outbound calls using Dialpad

β€’ Gather documentation and ensure clients are prepared for meetings

β€’ Send welcome communications, engagement agreements, and intake forms

β€’ Maintain Clio Grow pipelines, notes, referral tracking, and workflows

β€’ Respond to client inquiries timely and professionally


Case & Practice Management (Clio)

β€’ Manage case files in Clio Manage with exceptional organization

β€’ Upload, maintain, and categorize documents accurately

β€’ Track deadlines and case progress

β€’ Oversee e-signature workflows and client portal communications

β€’ Ensure real-time accuracy in all client files


Executive Calendar & Operations Management

β€’ Manage attorney’s Outlook calendar strategically

β€’ Schedule consultations, client meetings, court dates, and internal meetings

β€’ Protect focus time and prevent conflicts

β€’ Coordinate meeting logistics and confirm appointments

β€’ Proactively manage reschedules


Administrative & Operational Support

β€’ Draft polished client correspondence for attorney review

β€’ Assist with invoicing and operational workflows

β€’ Generate and update retainer agreements and checklists

β€’ Organize and maintain digital file systems

β€’ Support document automation processes


🎯 REQUIRED QUALIFICATIONS

β€’ Prior legal services experience preferred but not required

β€’ Strong executive-level written and verbal English skills

β€’ Clear, neutral spoken English with excellent articulation

β€’ High proficiency in Microsoft Office 365 (Outlook, Word, Excel)

β€’ Exceptional organizational skills and attention to detail

β€’ Ability to manage competing priorities with composure

β€’ Strong critical thinking and proactive problem-solving abilities


Strongly Preferred

β€’ Experience with Clio Manage and Clio Grow

β€’ Senior Executive Assistant or Legal Assistant experience in a law firm

β€’ Experience with document automation systems

β€’ Experience supporting U.S.-based attorneys or professional service firms
