Job Overview:


We are a growing U.S. tax controversy law firm seeking a highly organized Case Flow Manager to oversee the movement and progress of our legal cases. This role is not responsible for handling legal work or managing an individual caseload. Instead, the Case Flow Manager is responsible for monitoring workflow, maintaining operational momentum across all active cases, and ensuring that the legal teams work progresses efficiently and without unnecessary delay. The primary responsibility of this position is to maintain continuous movement across the firms caseload by monitoring case status, identifying delays, coordinating with staff, and ensuring accountability.


The Case Flow Manager will oversee daily production meetings, monitor communication and billing activity, ensure financial requirements are met, and help maintain consistent case progress from intake through completion. This role is ideal for someone who is highly organized, detail-oriented, proactive, and comfortable managing processes and coordinating people in a professional remote environment.


Schedule: TBD or flexible during client business hours (8hrs per day, 40hrs per week)

Key Responsibilities:


  • Maintain oversight of all active cases to ensure that work continues to move forward without interruption such as monitoring case progress, identifying stalled matters, and escalating issues when necessary to prevent delays
  • Conduct and maintain daily case production meetings to review case status, confinn task completion, and ensure that team members are meeting deadlines and production expectations
  • Strong follow-up and accountability skills to ensure that assigned work is completed on time
  • Monitor client communication to ensure that clients receive timely and professional responses and that communication standards are consistently maintained
  • Monitor client retainers to ensure that minimum retainer levels are maintained
  • Confirm that payment profiles are properly saved in the client file so that replenishment payments can be processed when retainers fall below the required minimum thresholds
  • Monitor staff billable time entries to ensure time is recorded consistently and accurately and that production expectations are being met


Requirements:


  • Proven experience in operations, workflow management, project management, or team coordination
  • Demonstrated ability to manage multiple workflows or projects simultaneously with high attention to detail
  • Experience holding team members accountable to deadlines and following up until completion
  • Strong ability to identify bottlenecks, delays, and inefficiencies and take action to resolve them
  • Experience leading or facilitating team meetings, production meetings, or status updates
  • Excellent written and verbal English communication skills
  • Highly organized with strong task tracking and follow-through ability
  • Comfortable working in a fast-paced, deadline-driven environment
  • Ability to escalate issues appropriately and proactively communicate problems
  • Strong problem-solving mindset with the ability to take initiative without constant direction
  • Experience working in a law firm, professional services firm, or client service environment
  • Familiarity with case management systems, CRMs, or project management tools (such as ClickUp, Asana, Monday, Trello, etc.)
  • Experience monitoring or coordinating billing, retainers, or financial workflows
  • Experience working with remote teams
  • Background in legal operations, production management, or service delivery environments

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
