Head Of Automation

Job Overview

We are seeking a highly commercial, hands on Head of Automation to design and build a lean, integrated automation layer across the business.

This role is focused on simplifying systems, reducing reliance on fragmented SaaS tools, and building a cohesive ecosystem that connects marketing, sales, and operations end to end.

The mandate is to increase speed, improve conversion, reduce costs, and give the business full control over its core infrastructure.

This is a builder role. We are not looking for someone to manage tools. We are looking for someone to redesign how the business operates through automation.

Work Schedule: 40hrs per week, 9am to 6pm with 1 hour unpaid break | Australian Eastern Time

Core Responsibilities

System Consolidation and Architecture

• Audit all existing systems, tools, and SaaS platforms
• Identify duplication, inefficiencies, and unnecessary cost centres
• Consolidate systems into a simplified, integrated architecture
• Reduce reliance on third party tools where possible and replace with more controlled solutions
• Design a scalable but lean infrastructure that supports high volume operations

Marketing Automation and Lead Flow

• Build and optimise end to end marketing funnels from traffic to conversion
• Automate lead capture, qualification, routing, and follow up
• Integrate landing pages, CRM, and communication channels into a unified flow
• Implement fast response systems to maximise conversion from inbound leads
• Work closely with marketing to test, deploy, and scale high converting campaigns

Sales and Conversion Systems

• Automate pipeline management, lead allocation, and follow ups
• Build systems that support high speed, high volume sales environments
• Ensure full visibility across the sales funnel and eliminate leakage
• Integrate communication channels such as email and WhatsApp directly into workflows
• Support direct response sales processes with minimal friction

Operations and Process Automation

• Map and redesign internal workflows to eliminate manual handling
• Automate key processes across onboarding, processing, servicing, and collections
• Standardise workflows to ensure consistency and scalability
• Improve turnaround times and reduce operational bottlenecks

Technology and Implementation

• Work closely with developers where required, but remain hands on
• Implement automation using practical, lightweight, and cost effective solutions
• Leverage APIs, integrations, and custom workflows
• Avoid over engineering and focus on speed and impact

Risk, Compliance, and Data Integrity

• Ensure all automated workflows maintain proper controls and audit trails
• Support compliance requirements through structured and trackable processes
• Maintain strong data integrity across all systems
• Ensure secure handling of client and operational data

Data and Performance

• Track and optimise performance across marketing, sales, and operations
• Measure conversion rates, processing times, and cost efficiency
• Build dashboards and reporting that provide clear visibility to management
• Continuously refine systems based on performance data

Requirements

• Strong background in automation, systems design, or technical operations
• Experience in high volume, fast paced environments, ideally fintech, lending, or direct response businesses
• Proven ability to simplify systems and reduce SaaS reliance
• Strong understanding of marketing funnels, lead generation, and conversion
• Experience working with CRM systems and automation platforms
• Strong understanding of APIs, integrations, and data flows
• Hands on capability to build and implement, not just design
