Role Overview

The Outbound E-mail Specialist will serve as the strategist and execution lead responsible for ensuring that outbound campaigns perform successfully day-to-day. You’ll translate strategy into scalable, high-volume actions — managing targeting, messaging, sequencing, deliverability, testing, and performance reporting. This role requires precision, consistency, and adaptability in a fast-paced GTM environment.

The ideal candidate combines analytical rigor with creative problem-solving, maintaining campaign excellence and measurable outcomes under pressure.

Key Responsibilities

  • Targeting & ICP Development
    • Translate client goals into detailed targeting matrices (industry, seniority, company size, geography, tech stack, triggers).
    • Build, enrich, and maintain high-quality prospect lists with proper suppression and compliance.
    • Apply suppression rules to maintain clean, compliant targeting.
  • Cold Email Strategy & Execution
    • Focus exclusively on cold outbound, not email marketing.
    • Write, test, and refine cold email copy including subject lines, openers, CTAs, and follow-ups.
    • Develop multi-angle narratives such as ROI-driven, social proof, compliance-based, and competitive positioning.
    • Implement personalization at scale through snippets, dynamic variables, and micro-references.
    • Manage sequencing and reply handling for large-scale operations, often 100+ mailboxes per client.
  • Deliverability & Infrastructure
    • Configure and manage technical infrastructure (domains, DNS records, mailboxes, SPF/DKIM/DMARC setup, warmups).
    • Proactively monitor bounce and spam rates and implement deliverability remediation strategies.
    • Maintain top deliverability through reputation management and warmup protocols.
  • Experimentation, Analytics & Optimization
    • Run structured A/B/n tests across subject lines, hooks, CTAs, and send timings.
    • Track KPIs such as open rates, reply types, meetings booked, and deliverability health.
    • Maintain an experiment backlog and document winning approaches into playbooks for scale.
  • Client Communication
    • Participate in client meetings to present performance, experiments, and next steps.
    • Provide clear, concise updates through Slack/Intercom and reporting dashboards.
    • Represent the GTM team with professionalism and clarity — appearance, tone, and communication presence matter.
Qualifications

Experience

  • 2–5+ years in outbound operations, cold email strategy, or GTM campaign execution.
  • Proven experience managing high-volume cold email campaigns (10K–100K+ emails per month).
  • Demonstrated success managing 100+ mailboxes for a single client.
  • Hands-on experience with tools such as Instantly, Clay, Apollo, and HubSpot.
  • Deep understanding of deliverability fundamentals (SPF, DKIM, DMARC, warmup, and reputation management).

Skills

  • Strong analytical precision and data-driven decision-making skills.
  • Excellent copywriting and operational documentation abilities.
  • Clear and professional communication in English; accent is fine, but clarity, presence, and a quality mic/camera setup are essential.
  • Highly organized, process-oriented, and able to perform consistently under pressure.
  • Fast-paced and execution-focused, with the ability to handle repetitive work at scale.
  • Adaptable, self-starting, and capable of maintaining performance standards in demanding environments.

What Success Looks Like

  • Consistently achieving or exceeding campaign KPIs (open rates, reply rates, meetings booked).
  • Deliverability remains high across all client accounts.
  • Clear communication and reporting strengthen client trust and satisfaction.
  • Experiment learnings are systematically documented to improve future performance.
  • Campaign execution is precise, repeatable, and scalable across multiple clients.
