This is a brand-new role created to eliminate two critical bottlenecks: (1) files not being properly closed and backed up, and (2) delays in second-reviewing high-risk estate planning documents. Our firm drafts trusts, wills, powers of attorney, and deeds with survey descriptions—where even a small error can have major consequences. Your job is to serve as the reliable “second set of eyes” and help close out administrative backlogs so documents move faster and files remain compliant.



What you’ll do:


  • Administrative Support: Provide essential support to paralegals and intake coordinators, ensuring administrative tasks are efficiently managed and executed.
  • Document Review: Act as the second set of eyes on major documents such as trusts, wills, and powers of attorney, ensuring accuracy and preventing costly errors.
  • File Management: Ensure timely closing and archival of files, maintaining clarity and order within the firm’s systems.
  • Paralegal Assistance: Facilitate document preparation and drafting assistance, playing a crucial role in case preparation and management.
  • Intake Coordination: Support the intake coordinator with backend administrative tasks, ensuring smooth initial client interactions and data accuracy.
  • Reporting Structure: This role reports directly to the Office Manager. Oversight will be higher during training and decrease as you demonstrate mastery and independence.
  • Internal Communication Protocol: Urgent items are communicated via Google Chat; non-urgent updates must be documented in Clio messages so updates remain permanently tied to the client file.
  • Client Interaction: This role is not client-facing initially. You will primarily support the internal team (paralegals, office manager, intake coordinator) with administrative and document-related tasks.

Additional perks:


  • Remote Work (Global Role): This is a fully remote role. We prefer alignment with the firm’s time zone during training, with flexibility possible later once you are fully ramped.
  • Compensation: $1,500–$2,000/month (full-time capacity expected at the $2,000 level).
  • Work Structure: Likely a 1099-style arrangement with one monthly payment.
  • Holidays + Sick Days: Firm holidays apply (not your country’s holidays) including an additional paid day off for your birthday, and sick days are offered; no additional formal benefits.
  • Equipment/WiFi: You provide your own computer and internet (no equipment provided; no WiFi stipend).
  • Security Compliance: Must be willing to follow data-security standards and install required security/monitoring tools if requested.
