Job Description

The role of a Front Office Agent is pivotal in ensuring that guests have a remarkable experience from the moment they step into the establishment to the moment they leave. This role demands a person who is personable, organized, and efficient in handling day-to-day operations of the front office. As the face of the organization, the Front Office Agent welcomes guests, answers queries, processes reservations, and coordinates with various departments to ensure guest satisfaction. This is a dynamic position that requires someone who can juggle multiple tasks while maintaining a friendly and professional demeanor. Ideal candidates must have excellent communication skills, adeptness in problem-solving, and a strong customer service ethos.


Responsibilities

  • Greet guests warmly upon their arrival and make them feel welcomed.
  • Handle guest check-ins and check-outs efficiently and courteously.
  • Answer phone calls and respond to guest inquiries in a polite manner.
  • Maintain accurate records of bookings and reservations in the system.
  • Coordinate with housekeeping staff to ensure rooms are prepared on time.
  • Manage and resolve guest complaints promptly and effectively.
  • Assist guests with directions, recommendations, and relevant information about the area.
  • Process payment transactions and ensure that billing is accurate.
  • Update and manage guest data in the hotel management software.
  • Ensure front office area is tidy and presentable at all times.
  • Assist in the training of new front office staff as needed.
  • Work with security staff to ensure guest safety and resolve security issues.

Requirements

  • Excellent communication skills and a friendly, professional demeanor.
  • Previous experience in a front office or customer service role preferred.
  • Proficiency in using hotel management software and systems.
  • Ability to work flexible hours, including nights and weekends.
  • Strong organizational and multitasking abilities are essential.
  • High school diploma or equivalent; additional qualifications are a plus.
  • Ability to remain calm and courteous under pressure in a fast-paced environment.
