Our client is hiring an Executive Sales Assistant to take full ownership of lead follow-up and CRM execution—the “fortune is in the follow-up,” and this role protects it. With hundreds of leads in the system and limited time to manage daily outreach, the founder needs a reliable partner to keep the pipeline clean, active, and moving forward. Your mission is simple but powerful: make sure no lead is forgotten and no opportunity slips through the cracks. This role starts with execution and can grow into deeper operational responsibility over time.

Qualifications:
Must-Haves:
- Excellent English Communication – Clear, confident spoken and written English that U.S.-based sellers (especially in the Southern U.S.) can easily understand
- CRM-Driven Operator – Comfortable living inside a CRM and keeping data clean, accurate, and up to date every single day
- Faith-Respectful & Values-Aligned – Open and respectful toward a Christian, mission-driven business environment
- High Integrity & Accountability – Does what they say they’ll do and communicates early when something needs clarification or support
Nice-to-Haves:
- Experience in real estate, acquisitions support, or lead management
- Familiarity with GoHighLevel or similar CRMs
Responsibilities of the Executive Sales Assistant:
Your responsibilities include:
CRM & Pipeline Management
- Lead the migration and ongoing management of all leads from FreedomSoft into GoHighLevel
- Audit, clean, and organize an existing database of ~500 leads
- Create and maintain clear pipeline stages that reflect the true status of every lead
- Update lead statuses, tags, notes, and timelines daily to maintain real-time visibility
- Identify stalled or aging leads and take action to re-engage or remove them
- Maintain strict CRM hygiene so no lead, task, or follow-up is ever lost
- Ensure tagging and segmentation support targeted outreach and future campaigns
Lead Nurturing & Follow-Up
- Own the day-to-day follow-up process across all active and inactive leads
- Manage both automated and manual follow-up workflows inside the CRM
- Re-engage older or neglected leads that have fallen through the cracks
- Build and maintain long-term nurture sequences (3, 6, 9 months and beyond)
- Ensure no lead goes more than a defined time period without a touchpoint
- Log all conversations, responses, and next steps accurately in the CRM
- Monitor lead responsiveness and adjust follow-up intensity as needed
Text & Email Outreach
- Set up automated SMS and email campaigns
- Trigger outreach sequences through CRM status changes
- Handle ongoing text- and email-based conversations
- Ensure consistent, respectful follow-up without manual chasing
Appointment Setting & Qualification
- Pre-qualify leads using defined criteria (asking price, condition, estimated repairs, urgency)
- Ensure only qualified, ready leads are booked onto the founder’s calendar
- Schedule and manage phone appointments while respecting blocked time and availability rules
- Confirm appointments and reduce no-shows through timely follow-ups
- Follow up with no-shows to reschedule
Reporting & Metrics
- Pull data from the CRM for performance tracking
- Help build simple dashboards and reports
- Build historical data to support future strategy and decision-making
- Track metrics from outreach → appointments → offers → deals
