Job Description

We’re seeking a professional with Executive Assistant and Operations Coordinator experience who has exceptional organizational skills and proficiency in Notion and HubSpot CRM. You will serve as the organizational backbone for our education-focused team. This remote position offers the perfect blend of administrative excellence and strategic support, where you’ll manage critical communications, coordinate complex schedules, and ensure seamless project execution.


Schedule

  • Flexible between 9:00 am and 6:00 PM Mountain Standard Time (20 to 30 hours per week)


Responsibilities

  • Expertly manage email communications and perform intelligent triage of incoming messages to ensure priority items receive immediate attention
  • Handle comprehensive scheduling and maintain precise calendar control for executive leadership
  • Coordinate task delegation and facilitate smooth project activities across multiple teams and initiatives
  • Generate detailed reports on project status and task completion using Notion’s advanced project management features
  • Maintain accurate and up-to-date records in the HubSpot CRM system to support customer relationship management
  • Execute various administrative duties with precision and professionalism
  • Serve as a communication hub, facilitating seamless information flow between team members and stakeholders


Requirements

  • Minimum 2 years of proven experience in an executive assistant or similar high-level administrative roles
  • Strong proficiency with Notion for project management, reporting, and organizational systems
  • Demonstrated experience with HubSpot CRM or similar customer relationship management platforms
  • Exceptional email management and professional communication skills
  • Outstanding organizational abilities and time management expertise
  • Experience with or knowledge of the US education system is preferred but not required
  • Proven ability to work independently and excel in a remote work environment
  • Strong attention to detail and ability to handle confidential information with discretion
