Job Overview

Our client is seeking a highly organized, proactive, and strategic Executive Operations Assistant (Notion) to serve as a trusted thought partner to a dynamic executive leading multiple consulting engagements and strategic initiatives. This is not a traditional Executive Assistant role; our client is looking for someone who can think like a management consultant—someone who enjoys creating structure from ambiguity, building project plans, driving execution, and keeping multiple high-impact initiatives moving forward. The ideal candidate is analytical, highly organized, and capable of partnering with executives and clients to translate complex ideas into actionable project plans.


Schedule

  • Monday - Friday, 9:00 AM - 6:00 PM Central Time, with 1 hour unpaid break (40 hours per week)


Responsibilities

  • Executive Operations & Strategic Support: Serve as a strategic operations partner to the executive across multiple client engagements and business initiatives; help prioritize competing initiatives and create structure around changing priorities.
  • Project Planning & Execution: Develop comprehensive project plans, workstreams, timelines, and deliverables for consulting engagements; monitor project progress and proactively follow up with stakeholders to ensure deadlines are met.
  • Workflow Automation: Facilitate project coordination using Basecamp, Notion, or similar project management platforms; track risks, dependencies, action items, and decision logs while building repeatable workflows and templates.
  • Client & Stakeholder Communication: Serve as a professional point of contact for clients and internal stakeholders; draft and manage executive correspondence, reports, and client communications.
  • Meeting Governance: Attend high-level meetings, capture key decisions, summarize discussions, and meticulously monitor follow-up actions while protecting executive priorities.
  • Administrative & Financial Support: Process corporate invoices and assist with basic bookkeeping using QuickBooks; track expenses and support budgeting workflows using YNAB or similar software.


Requirements

  • General accounting experience.
  • Executive Support Footprint: 2–5 years of professional experience supporting senior executives, founders, or consulting leaders.
  • Notion Ecosystem Mastery: Minimum 2–3 years of dedicated experience using Notion to build dashboards, repositories, and project tracking databases.
  • Project Management Skills: Proven experience building detailed project plans, work plans, accountability trackers, or implementation roadmaps.
  • Software Tool Stack Literacy: Proficiency with Basecamp, Google Workspace, and QuickBooks, alongside familiarity with YNAB or related budgeting software.
  • Linguistic Standard: Excellent written and verbal English communication, documentation, note-taking, and meeting facilitation skills.
  • Operational Autonomy: Strong organizational and time management abilities with a proven track record of driving execution with minimal supervision.


Qualifications

  • Direct experience working in a top-tier management consulting environment (e.g., McKinsey, Accenture, KPMG, Deloitte, EY, PwC, Bain, BCG, or similar consulting firms) is highly preferred.
  • Experience supporting corporate consulting engagements or strategic enterprise transformation projects.
  • Deep familiarity with consulting methodologies, work plans, executive presentations, and formal client deliverables.
