Job Overview

Our client is looking for a strategic partner to join their fast-growing leadership and organizational development practice. This is not a traditional Executive Assistant position; you will operate as a high-level collaborator to the Founder, helping bring structure, clarity, and momentum to the business. If you are someone who thrives in ambiguity, enjoys building systems from scratch, and takes ownership of outcomes—not just tasks—this role is designed for you.


Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM Singapore Time, with 1 hour unpaid break (40 work hours per week)


Responsibilities

  • Driving Executive Effectiveness: Manage calendars, priorities, and shifting focus areas; ensure follow-ups and key actions are never missed; translate meetings into clear execution plans.
  • Keeping Projects Moving: Oversee multiple workstreams including programs, proposals, and partnerships; track timelines and stakeholders while proactively unblocking bottlenecks.
  • Managing Opportunities & Pipeline: Capture and track all inbound enquiries; maintain full visibility across the pipeline from enquiry to confirmation; ensure timely responses.
  • Creating Structure & Systems: Build and maintain task and project tracking systems; improve workflows for efficiency and introduce tools that support business scaling.
  • Coordinating Across the Business: Align internal and external stakeholders to ensure smooth communication and alignment across all business activities.


Requirements

  • 3–6 years of experience in Executive Assistant, Operations, or Project Coordination roles.
  • Strong organizational and project management skills with high attention to detail.
  • High ownership mindset with the ability to manage multiple priorities independently.
  • Proactive, self-motivated, and comfortable in fast-moving, evolving environments.


Qualifications

  • Proficiency in project management tools (Notion, Asana, or similar).
  • Expertise in Microsoft Office / Google Workspace and video conferencing tools (Zoom).
  • Experience with CRM systems or pipeline tracking tools.
