Profile Requirements:
At least 3–5 years of proven experience as an Executive Assistant, Personal Assistant, or in a senior administrative support role within a fast-paced environment
Demonstrated ability to manage multiple priorities simultaneously with exceptional organizational and time management skills
Strong written and verbal communication skills, with the ability to draft correspondence, reports, and presentations at an executive level
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace, with the ability to quickly adapt to new software and systems
High level of professionalism, discretion, and integrity in handling confidential and sensitive business matters
Strong interpersonal skills with the ability to build trusted relationships across all levels of an organization and with external partners
Proven problem-solving abilities, with a proactive approach to anticipating needs and resolving issues before they escalate
Detail-oriented with a strong focus on accuracy, quality, and consistency in all administrative tasks
Flexibility to adapt to shifting priorities, urgent requests, and fast-paced, dynamic environments while maintaining composure under pressure
A self-motivated, resourceful individual with the ability to work independently as well as collaboratively within a team
Core responsibilities:
Manage complex executive calendars, including coordinating internal/external meetings, video conferences, and frequent travel arrangements across multiple time zones
Act as the first point of contact for executives, handling correspondence, screening calls/emails, and prioritizing requests for attention
Prepare and edit high-quality documents, presentations, reports, and briefing materials to support executive decision-making
Organize and coordinate large-scale events, team meetings, client engagements, and board-level sessions, ensuring smooth logistics from start to finish
Maintain and update filing systems (digital and physical) to ensure easy retrieval and secure handling of sensitive business information
Track and manage key deadlines, projects, and deliverables while proactively following up with stakeholders to ensure completion
Prepare, process, and reconcile expense reports, purchase orders, and budget tracking in line with company policies
Foster strong working relationships with senior stakeholders, clients, and team members to ensure clear communication and collaboration
Support recruitment processes, onboarding activities, and administrative HR functions when required
Provide ad hoc project support, research, and analysis to assist executives with business initiatives and decision-making
