As the Executive Assistant, you will play a pivotal role in supporting our executives in various capacities. This position demands a proactive individual with exceptional organizational skills, creativity, and the ability to handle a wide range of responsibilities. The successful candidate will be a key contributor to our teams success, helping to drive client engagement, marketing efforts, and overall operational efficiency.


Responsibilities

  • Manage and maintain calendars, schedule appointments, and coordinate meetings and travel arrangements for the clients
  • Utilize software tools similar to Monday.com, Asana, Trello, Zoom Workplace, RingCentral, and/or Hubspot to create and maintain systems as needed.
  • Handle incoming and outgoing communications, including emails, phone calls, and other correspondence.
  • Assist in the preparation and distribution of reports, presentations, and other documents as required.
  • Provide exemplary client service by promptly addressing inquiries and concerns.
  • Ability to handle multiple mailboxes as necessary to support the clients ie: CEO, COO, etc.
  • Collaborate with team members to ensure seamless operations and support across departments.
  • Maintain confidentiality and discretion when handling sensitive information.
  • Continuously seek opportunities to enhance efficiency and effectiveness in administrative processes
  • Light project management


Requirements

  • Proven experience as an Executive Assistant and Admin Role or in a similar role.
  • Strong organizational, time-management, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Familiarity with managing social media platforms and content management.
  • Ability to maintain confidentiality and handle sensitive information.
  • Willingness to work in US time zones (PST, EST, CST).
  • High school diploma or equivalent.


System and Work Setup Requirements

  • A stable and high-speed internet connection preferably 25 MBPS or higher with backup in cases of power interruption or service provider issues.
  • Own PC/laptop with 8GB RAM, and a processor of Core i5 / AMD Ryzen 3 / 2013 Mac equivalent or higher; Windows 10 or above / Catalina 10.15 or newer; with up-to-date web browsers, and security software, 500GB/128 SSD storage
  • Headset/earphone with noise cancellation and webcam at 720p or higher resolution
  • A designated, quiet, and well-organized workspace free from distractions to facilitate focused work
