Overview

We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support the CEO and Executive Director. This role requires attention to detail, excellent memorization and follow-through skills, and the ability to manage, build, and improve systems that support executive operations. The ideal candidate is dependable, resourceful, and comfortable working with modern productivity tools, AI platforms, and design software.


Job Highlights

Monthly Rate: USD 1326

Number of Paid Hours Per Week: 40 hours per week

Schedule: Monday – Friday, 8:00 AM – 5:00 PM MST

Includes a 1-hour unpaid break

Work Arrangement: Work from home

Contract: Independent Contractor

Side Note:

Since this is a permanent work-from-home position and the arrangement is that of an Independent Contractor, the selected candidate must have their own computer and reliable internet connection. They will be responsible for their own benefits and taxes. Professional fees are paid on an hourly basis and the final rate will depend on performance during the application process.


Responsibilities

Executive & Administrative Support

  • Provide day-to-day executive support to the CEO and Executive Director
  • Manage executive calendars, including scheduling, rescheduling, and reminders
  • Take meeting notes and document decisions, action items, and next steps
  • Prepare agendas and track follow-ups to completion
  • Act as a point of coordination for internal and external communications
  • Maintain confidentiality and handle sensitive information with discretion
  • Retain executive preferences, workflows, recurring tasks, and priorities

Meeting & Communication Management

  • Attend meetings as needed
  • Set up, manage, and troubleshoot Zoom meetings
  • Record meetings when required and manage recordings, notes, and action items
  • Strong familiarity with Zoom features, including recording, screen sharing, and AI tools

System Building & Workflow Design

  • Build, organize, and maintain systems that support executive and team operations
  • Design and improve workflows using Asana, including project structure, task flows, timelines, and accountability
  • Set up and organize Trainual content to support onboarding, training, and internal documentation
  • Continuously refine systems to improve efficiency, clarity, and follow-through

Content & Strategy Support

  • Assist the CEO and Executive Director in organizing ideas, priorities, and initiatives
  • Structure and refine content for executive presentations, internal communications, and training materials
  • Translate discussions and high-level ideas into actionable plans, presentations, or documents
  • Ensure content aligns with leadership objectives and intended audience

Design & Presentation Support

  • Create and update PowerPoint presentations for executive and company use
  • Design materials using Canva, including presentations, internal documents, and training or marketing materials
  • Ensure all materials are professional, clear, and aligned with company branding

AI & Technology Integration

  • Use ChatGPT to assist with drafting, summarizing, organizing, and ideation
  • Implement and manage AI meeting tools such as Fireflies.ai or similar platforms
  • Explore, evaluate, and integrate AI tools to improve productivity, documentation, and workflows
  • Support leadership in adopting and effectively using AI tools in daily operations

Google Workspace Management

  • Manage and organize Google Workspace, including Gmail, Calendar, Docs, Sheets, and Drive
  • Maintain organized shared folders and documents
  • Support efficient email and document workflows


Requirements

  • Proven experience as an Executive Assistant or similar role
  • Excellent organizational, time-management, and multitasking skills
  • Strong memorization and retention abilities
  • High attention to detail and accuracy
  • Strong written and verbal communication skills
  • Tech-savvy with the ability to quickly learn and implement new tools
  • Reliable, proactive, and highly accountable


Preferred Experience

  • Experience supporting a CEO or Executive Director
  • Experience building systems using Asana and Trainual
  • Strong presentation and design experience (PowerPoint and Canva)
  • Experience integrating AI productivity and meeting tools
