Job Description
Calendar and Schedule Management: Strategically manage the CEOs calendar, ensuring optimal allocation of time to strategic priorities. Proactively anticipate and resolve scheduling conflicts. Coordinate appointments, meetings, and events with internal and external stakeholders.
Communication Management: Manage executive communications, including emails, phone calls, and written correspondence. Draft, review, and refine executive presentations, reports, and strategic documents. Serve as a liaison between the CEO and leadership teams, ensuring clear and accurate information flow.Proactively prepare and organize materials for key meetings, including EOS session.
Travel Management: Arrange complex international and domestic travel, including flights, accommodations, and ground transportation.Develop detailed travel itineraries and ensure all logistical requirements are met.Monitor travel expenses and ensure adherence to company travel policies.Project Coordination and Follow-up:Manage special projects assigned by the CEO, tracking progress and ensuring alignment with goals.Conduct research and provide insights to support the CEOs decision-making.Prepare comprehensive project reports for the CEOs review.
Administrative Support:Process expense reports, manage office supplies, and oversee general administrative duties. Coordinate with other departments to ensure the CEOs needs are met efficiently. Maintain a highly organized digital and physical filing system.
The Successful Applicant
- Education: Bachelors Degree in Business Administration, Management, or a related field.
- Experience: Minimum of 7 years of experience as an Executive Assistant, supporting C-Level executives (preferably also CEOs). Big preference on Executive Assistants who have provided support off shore and have worked remotely.
- Language Requirements: Excellent English communication skills, both written and verbal.
- Technical Skills: Proficiency in using Microsoft Office Suite, Teams, and other communication tools.
