Job Description

Executive Support

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel.
  • Organize and prepare materials for internal and external meetings (agendas, presentations, reports).
  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Screen and manage incoming communications (emails, calls, inquiries).

Administration & Operations

  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
  • Prepare expense reports, track budgets, and manage invoices.
  • Maintain and organize confidential documents, records, and files.
  • Support the planning and execution of company events, board meetings, and leadership offsites.

Communication & Coordination

  • Draft, review, and edit correspondence, reports, and presentations.
  • Assist with cross-functional coordination and follow-ups on action items and deadlines.
  • Build strong working relationships with internal teams and external partners.

Project Support

  • Assist in research, data collection, and creation of executive briefs.
  • Support strategic initiatives and special projects as assigned by leadership.
  • Monitor project timelines and ensure timely execution of tasks.

Requirements

  • Bachelors degree in Business Administration, Communications, or related field (or equivalent experience).
  • 35 years of experience supporting senior executives or C-suite leaders.
  • Strong proficiency in MS Office Suite and/or Google Workspace.
  • Excellent communication, writing, and interpersonal skills.
  • High level of discretion, confidentiality, and professionalism.
  • Strong time-management, organizational, and multitasking skills.
  • Experience in fast-paced, high-growth environments.
  • Familiarity with project management tools (Asana, Trello, Notion, etc.).
  • Ability to work independently and anticipate executive needs.
