About the Role:

We are seeking a highly organized, proactive, and warm Executive Assistant to support the daily operations and assist in growing our integrative wellness and menopause support coaching business. This role combines admin excellence, customer service, digital systems management, and wellness lifestyle education (including doTERRA protocols and EnrollPro systems).

The ideal candidate is efficient, tech-savvy, heart-centred, and passionate about creating a premium client experience.


Job Highlights:

  • Hourly Rate: USD 5.45, the equivalent in your local currency
  • Paid Hours per Week: 40
  • Schedule: Monday to Friday, 9:00 am to 6:00 pm ACST
  • Work Arrangement: Work from home
  • Contract: Independent Contractor

Side note: Since this is a permanent work-from-home position and an “Independent Contractor” arrangement, the candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.


Responsibilities:



Executive & Administrative Support

  • Manage the owner’s calendar, appointments, bookings, and scheduling. email responses & templates.
  • Handle inbox management across Google Workspace (email, drive organization, reminders).
  • Prepare documents, digital resources, PDFs, onboarding materials, and client communication.
  • Assist with general administration, data entry, online filing, and organization of business systems.
  • Support the creation and implementation of standard operating procedures.
  • Research & fill out submissions to apply for financial grants to fund wellness programs and business growth, and enter business awards for recognition.
  • Help coordinate other online team members to complete tasks on time


Client Experience & Front-End Support & Client Retention

  • Deliver exceptional customer service via phone, email, and in-person communication.
  • Assist with client bookings for spa treatments, wellness sessions, coaching appointments online product purchases
  • Improve enquiry conversion - Identify gaps and drive solutions
  • Discuss monthly reporting and sales booking performance insights from the Phorest booking CRM system and DOTERRA sales and retention
  • Support clients with follow-up care, appointment reminders, and nurturing sequences.
  • Create a welcoming, calm, and professional experience for all spa and coaching clients.
  • Help implement and support clients with New spa membership & loyalty programs


Wellness & doTERRA Support

  • Assist with client education for doTERRA wellness lifestyle products
  • Support customers through product recommendations (training provided).
  • Help clients navigate EnrollPro, including email education, product guidance, and follow-up pathways.
  • Assist with wellness events, workshops, and online education sessions.
  • Inviting clients to wellness seminars and events- using Phorest email database,
  • Social media Facebook, Instagram, and Eventbrite


Coaching Business Growth & Marketing Support

  • Assist in building out health coaching programs, client resources, and automation systems.
  • Support content creation: emails, newsletters, client guides, and social media scheduling.
  • Help manage online platforms, including booking systems, Phorest, CRM, and educational portals.
  • Help create and organize the DoTERRA list of online resources for the Marketing, Training, and personal development for Growth.
  • Track financial progress and client retention & client progress, program completion, and engagement using CRM systems like the DoTERRA online client portal. Phorest and Enrollpro client systems


Systems & Technology

  • Manage Google Workspace (Drive, Docs, Sheets, Calendar).
  • Use scheduling and booking platforms. Phorest
  • Utilize EnrollPro for customer funnels and education.
  • Support simple graphic editing and templated marketing documents (e.g., Canva).
  • Participate in improving business systems for efficiency and client experience.


Requirements:

  • Strong administrative or executive assistant background.
  • Excellent communication and customer focus & service skills.
  • Knowledge of automated email/SMS marketing
  • High organization skills and ability to prioritize tasks.
  • Familiarity with AI tools and automation
  • Use Asana or Monday for team coordination
  • Confident with technology, email systems, Google Workspace, and CRM tools.
  • Ability to work independently and manage confidential information discreetly.


Preferred (training available):

  • Experience in wellness, health, beauty, or integrative lifestyle industries.
  • Interest in natural health, essential oils, or women’s wellness.
  • Experience using EnrollPro, Phorest booking system, Canva, or similar tools.
  • Knowledge of doTERRA products or willingness to learn.


Network Marketing experience to help grow systems to support customers to use and share the products and business builders (business partners that are in the wellness industry) to introduce DoTERRA products to their clients.
