Job Description

A Documentation Specialist plays a critical role in managing and organizing company documents while ensuring their accuracy, quality, and accessibility. This position requires a keen eye for detail, exceptional organizational skills, and the ability to handle a variety of documentation types, including technical, legal, and operational. Documentation Specialists are responsible for overseeing the entire lifecycle of documents, from creation and maintenance to archiving and retrieval. They work closely with other departments to ensure that all documentation is up-to-date and meets company and regulatory standards. This role is essential in maintaining the organization's information integrity and facilitating efficient workflow through meticulous record keeping.


Responsibilities

  • Develop and maintain a comprehensive documentation system ensuring data accuracy.
  • Collaborate with cross-functional teams to gather necessary information for documents.
  • Review and edit documents to ensure compliance with company standards and guidelines.
  • Monitor the documentation lifecycle and manage revisions and updates as required.
  • Ensure all documentation is easily accessible and stored securely for auditing purposes.
  • Create and implement documentation workflows to improve operational efficiency.
  • Stay abreast of industry trends and best practices in documentation and information management.
  • Assist in the preparation of reports, manuals, and other required documents.
  • Provide support and training to staff on document management systems and standards.
  • Coordinate with IT department to ensure document management software is up-to-date.
  • Participate in process improvement initiatives to enhance documentation processes.
  • Ensure compliance with all relevant legal and regulatory documentation requirements.

Requirements

  • Bachelor’s degree in English, Communications, or a related field is preferred.
  • Proven experience as a Documentation Specialist or similar documentation management role.
  • Excellent written and verbal communication skills with attention to detail.
  • Strong organizational skills alongside the ability to manage multiple tasks simultaneously.
  • Proficiency with documentation management software and tools such as Microsoft Office Suite.
  • Familiarity with ISO standards or other relevant industry standards is desired.
  • Ability to work independently and collaboratively within a team-oriented environment.
