Job Description

The Document Controller plays a crucial role in managing and supervising all electronic and hard copy documents related to organizational processes, projects, and operations. In this position, you ensure compliance with established document control processes and standards, maintaining the integrity and confidentiality of documentation. The role involves close coordination with different departments to support their document needs and facilitate the seamless flow of documentation within the organization. Your keen attention to detail will be pivotal in monitoring the document lifecycle, ensuring everything is up-to-date and in line with industry regulations. The Document Controller will also implement new protocols when necessary and provide training and support to team members regarding document control practices.


Responsibilities

  • Maintain and manage all electronic and hard copy documentation accurately.
  • Ensure all documents meet compliance and regulatory requirements efficiently.
  • Coordinate with departments to ensure document standards are adhered to consistently.
  • Conduct regular audits on document processes and suggest improvements when needed.
  • Develop and implement comprehensive document control strategies and procedures.
  • Provide training to employees on best practices for document management systems.
  • Facilitate the proper archiving and retrieval of documents effortlessly.
  • Update and maintain document databases and ensure quick access to information.
  • Review and edit documents for accuracy and completeness before filing.
  • Prepare regular reports on document statuses and distribute them to stakeholders.
  • Ensure security of documents by implementing access control protocols.
  • Support project documentation needs, ensuring timely submission and approval.

Requirements

  • Bachelor’s degree or diploma in relevant field or equivalent experience.
  • Proven experience managing document control systems in a corporate setting.
  • Strong understanding of document management systems and software tools.
  • Excellent organizational skills and attention to detail is essential.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Strong communication skills to liaise effectively with all levels of staff.
  • Proficient in Microsoft Office Suite and document management software.
