Client Delivery Operations Assistant (Property) - Remote (UK afternoons)

This isn’t a generic VA role. It’s hands-on operations, delivery admin, confident chasing, and set routines.

What You’ll Actually Do
You’ll support our Operations & Executive Assistant and keep deals moving day-to-day, while running key finance admin routines that protect rent, cashflow, and clean records.
Client delivery admin
You’ll:
🔧 Run Day 0 onboarding (WhatsApp group, onboarding messages, folders, Podio setup)
🔧 Keep live deals moving in Podio (tasks, statuses, dates, docs, next actions)
🔧 Chase solicitors, agents, brokers, letting agents, and suppliers - and log outcomes
🔧 Handle insurance and survey admin (quotes, reminders, tracking)
🔧 Upload and organise key documents and safety certificates
🔧 Manage viewing media (upload, name correctly, send Key Pickup + Mid-Project updates using templates)
🔧 Support lettings handover admin (listing link, tracking to tenant, compliance admin)
🔧 Turn delivery-critical emails into clear Podio tasks
🔧 Spot gaps and suggest improvements (we love operators)
Finance admin routines (fixed blocks)
You’ll:
🔧 Mon + Thu: lettings tally check and update (verify rent, flag exceptions same day)
🔧 Tues + Fri: check and load supplier invoices for payment
🔧 Fri: Stripe + bank payment checks and Podio updates
🔧 1st-3rd working day: month-end close tasks (including requesting 2FA early where needed)
🔧 Hubdoc receipts/invoices, MileIQ reporting, bookkeeping support
Hours, Schedule, and Location
📍 Remote (any country)
⏰ 20-25 hours per week, Monday to Friday
🇬🇧 Must cover UK afternoons: typically 12:00-17:00 (UK time). Exact hours agreed during onboarding.
📚 Training: for the first 2-4 weeks, you may need to start earlier on some days to attend training sessions.

What You’ll Need to Succeed
✅ Experience: 1+ year in operations/admin or client delivery (remote), with confident chasing and CRM/task tool use
✅ Ops/admin experience where accuracy and follow-through matter
✅ Confident chasing third parties, calm and professional
✅ Strong written & spoken English
✅ High attention to detail (files, dates, templates, CRM hygiene)
✅ Comfortable following SOPs and spotting issues early
✅ CRM/task tool experience (Podio is a big plus)
✅ Reliable internet and a distraction-free home setup
✅ Tools you’ll use: Podio, Google Drive/Sheets, WhatsApp Web, Stripe, Hubdoc, MileIQ.
Bonus points for UK property admin exposure, invoicing, receipts, or basic finance routines.

The Details
Title: Client Delivery Operations Assistant (Property)
Remote Position
Hours: 20-25 hours/week (Mon-Fri)
Schedule: UK afternoons (typically 12:00 to 17:00 UK time)
Contract: Independent contractor (hourly)
Pay: $5.00-$7.00/hour (based on demonstrated reliability and experience)
Paid time off (holiday): 12 paid days/year, accrued at 1 day per month worked
Growth: More hours and responsibility available for the right person as we grow
