Job Title: Client & Automation Support Specialist

Location: Fully Remote, Philippines

Salary: $3.00 - $5.00 per hour based on experience

Schedule: Monday to Friday, Eastern Standard Time

Job Description

As a Client & Automation Support Specialist, you will be supporting a small, process-driven architecture and engineering firm based in the Baltimore, Maryland (DMV) area. The position is primarily administrative and client-facing, supporting daily operations, managing incoming communications, assisting with proposals and agreements, and handling basic invoicing and marketing inquiries. The role will begin with core administrative responsibilities and has the potential to grow as the firm expands.

Requirements

  • Proven experience using project management software to build automations
  • Strong client communication skills across multiple channels (phone, email, social media, etc.)
  • Ability to proactively contribute ideas and solutions to help streamline operations—beyond and in addition to the original position description we developed at the outset of this search.
  • Proficiency with Microsoft Office Suite, especially Microsoft Word, including creating, editing, and formatting documents and converting them to PDF format.
  • Familiarity with Adobe tools, including Adobe Sign, is required.
  • Prior experience using QuickBooks at a basic invoicing level (not bookkeeping) is required.
  • The candidate must be comfortable using video conferencing tools such as Google Meet or Zoom and be able to quickly learn internal systems and workflows.
  • Fluency in spoken and written English is required, along with excellent verbal and written communication skills and a strong customer service orientation.
  • The candidate must be highly personable, friendly, and professional, able to remain calm, respectful, and emotionally composed when dealing with demanding clients.
  • The role requires a detail-oriented, organized, and process-driven individual who is reliable, dependable, professional, open to feedback, and capable of working as a self-starter with strong initiative.

Preferred Qualifications

  • Background or familiarity with architecture, engineering, construction, real estate, or related industries is a plus.
  • Experience providing client status updates or project-related communication is preferred but not required.

Responsibilities

  • Answer and screen incoming phone calls from prospective and existing clients
  • Collect basic client information and understand client needs
  • Explain the firm’s services and overall process
  • Direct callers to the company website and online scheduling system
  • Answer general questions from first-time callers unfamiliar with the firm’s workflow
  • Maintain professionalism and composure when dealing with demanding or difficult clients
  • Monitor and respond to inquiries and messages received through the company’s Facebook page
  • Respond to comments and direct messages in a professional, customer-focused manner
  • Guide prospects to the website and online scheduling tools
  • Reinforce the firm’s services and value proposition through written communication
  • Prepare client proposals using existing Microsoft Word templates
  • Input accurate client and project information, including scope and pricing
  • Submit proposals to management for review and revisions
  • Implement requested edits and send finalized proposals to clients
  • Prepare service agreements using provided templates
  • Convert finalized documents to PDF format
  • Send documents for electronic signature using Adobe Sign
  • Generate and send invoices using QuickBooks
  • Manually create invoices when appointments are scheduled outside the online system
  • Ensure invoices are accurate and sent in a timely manner
  • Handle requests for urgent or expedited appointments not available via the online scheduler
  • Take detailed notes and coordinate internally with engineers or management
  • Communicate availability updates to clients
  • Schedule appointments manually when approved
  • Ensure proper follow-up and invoicing for scheduled appointments
  • Learn and follow established internal processes and workflows
  • Participate in remote training sessions via Google Meet or similar platforms
  • Provide feedback and suggest process improvements when appropriate
  • Operate as a self-starter with minimal micromanagement

  • Must have their own work device (preferably a desktop or laptop) and a stable internet connection.
  • Must be comfortable with using a time-tracking software for payroll purposes.
  • Must be willing to undergo a background verification check during the final stages of the hiring process.

Successful candidates for this role will be rewarded with the following benefits:

  • A total of five paid vacation days per year (additional days can be taken unpaid).
  • A 5% raise per year guaranteed (additional raises or bonuses may be given for outstanding performance).
  • A paid 15-minute break for every 4 hours of work.
  • Healthcare benefits after 2 months of full-time work.
  • Vacation days increase by 1 vacation day per year. I.e. after one year of employment, the total paid vacation days on year 2 would be six, on year 3 seven, etc.
