We’re on the hunt for a systems-minded, solution-driven Casting Operations Lead to join our creative agency. If you thrive on organizing chaos, love building efficient pipelines, and overseeing our talent network around a scalable system — this role is for you.

You’ll lead and level-up the way we source, vet, track, and manage UGC Creators across campaigns. From refining workflows to growing our database, your goal is to make talent casting effective and efficient for our agency and clients.

Responsibilities

UGC Creators Database Systems & Workflow Design

• Build and manage an internal UGC Creators’ deck & organizational system that scales — searchable, sortable, and always up to date.
• Design vetting processes and quality checks to evaluate new UGC Creators (think: scorecards, test shoots, categorization, a database that tells us exactly which talents are perfect for the brief).
• Create and maintain a centralized system where briefs, UGC Creator recommendations, and selections move seamlessly across teams.

Team Leadership & Optimization

• Lead and mentor the talent team, building accountability, upskilling where needed, and setting a high bar for talent decks and recommendations.
• Spot inefficiencies in our talent team’s processes, and turn them into solutions: effective casting, clearer briefs, and optimized processes for administrative work (payments, waivers, trackers.)
• Set up clear SOPs, templates, and resources so we can swiftly onboard new team members and have clear documentation for the team.

Database Growth & Talent Strategy

• Strategically expand and refresh our external UGC Creator pool, so we always have new talent recommendations for projects.
• Develop repeatable ways to source and sort creators, across categories, styles, and client needs.
• Assess and filter incoming talent applications and onboard them into our systems and production processes.
• Build relationships with diverse creator communities to keep offerings fresh and on-trend.

Cross-Team Communication

• Act as a key connector between our and client-facing teams, production studio, and creative teams translating briefs into the best talent picks and matching the right people to the right projects.
• Create visibility across projects, making sure everyone can access all the talent information they need, when they need it.
• Collaborate with production and creative leads to ensure talent expectations align with project goals.

What you bring

• Proven operational experience in casting calls, UGC Creator management, and database management.
• Demonstrated leadership skills with experience in guiding a talent team - solving their problems, spotting patterns, and building better processes.
• Familiarity with operational tools like ClickUp, Airtable, Notion, CRMs, plus casting sites such as Fiverr, Upwork, Backstage, Billo.
• Excellent communication and relationship-building abilities.
• Strong organizational skills with sharp attention to detail.
• Ability to multitask, problem-solve, and adapt in a fast-paced environment.
• Fluent in English.
