This role will handle the fulfillment side of accounting services, including bookkeeping, reconciliations, reporting, and accounts payable support. Your responsibilities include:

Daily & Monthly Bookkeeping

  • Log in to the accounting system daily to review and categorize financial transactions
  • Maintain accurate bookkeeping records across client accounts
  • Categorize expenses across multiple credit cards and accounts
  • Ensure transactions are correctly assigned to projects, locations, or job categories
  • Keep financial records updated to prevent month-end backlogs

Bank & Credit Card Reconciliation

  • Reconcile bank accounts, savings accounts, and multiple credit cards
  • Investigate discrepancies and ensure financial data accuracy
  • Maintain clean and reliable books for monthly financial reporting

Accounts Payable Management

  • Process vendor bills and manage accounts payable transactions
  • Handle an estimated volume of around 200 vendor bills per month
  • Utilize tools like Bill.com or similar systems to streamline AP workflows

Financial Reporting & KPI Tracking

  • Generate monthly financial reports in QuickBooks, including:
  • Profit & Loss (P&L)
  • Balance Sheet
  • Cash Flow Statement
  • Provide basic analysis on key business metrics such as gross margin and job profitability
  • Support high-level budgeting across major financial categories like revenue and COGS

Client Communication

  • Communicate directly with client-side staff to gather missing information
  • Resolve day-to-day accounting questions and clarify financial details
  • Maintain professional email communication with clients when needed

Payroll Journal Entries

  • Pull reports from payroll systems such as Paychex, ADP, or Gusto
  • Create journal entries to ensure payroll data maps correctly within accounting records

Tax Support (Nice-to-Have)

  • Assist with tax-related data entry in tax software when needed
  • Support the preparation of simple individual or partnership tax returns
