Job Overview

We are seeking a detail-oriented and bilingual Operations Coordinator to support our exterior cleaning and painting business in the Naples, Florida market. This role serves as the central point of coordination between incoming leads, clients, and field teams, ensuring smooth project execution from initial inquiry through completion.


Job Highlights

Schedule: Part Time - 25H per week - 8:00 AM - 1:00 PM - EDT

Work Arrangement: Work from home

Contract: Independent Contractor


Side Note: Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.


Responsibilities

  • Process leads from answering service through Slack integration and conduct property research
  • Communicate effectively with field teams in Spanish and English as needed
  • Prepare and send estimates and invoices to residential and commercial clients
  • Coordinate with property managers, HOA boards, and affluent homeowners
  • Request certificates of insurance and provide lien release information to vendors
  • Manage administrative tasks using QuickBooks and other business systems


Requirements:

  • Fluent bilingual communication in Spanish and English
  • Experience with property management or service industry operations
  • Proficiency with business software and online research tools
  • Strong written and verbal communication skills for diverse clientele
  • Ability to work independently and manage multiple priorities
  • High level of attention to detail and professional demeanor


Scope:

  • Support exterior cleaning and painting operations in affluent Naples, Florida market
  • Serve as primary liaison between English-speaking clients and Spanish-speaking field teams
  • Handle administrative workflow from lead generation through project completion
  • Maintain professional relationships with property managers and HOA representatives
  • Adapt to seasonal business fluctuations and varying workload demands
  • Integrate with modern tools including Slack, Zapier automations, and dialer systems
