About the Role

We are seeking a highly organised and detail-oriented AU Payroll Officer to support a growing Australian business across payroll, invoicing, accounts receivable, accounts payable, and financial administration functions.

This is a critical execution-focused role responsible for ensuring payroll and financial processes are completed accurately, efficiently, and on time. You will work closely with the Australian Finance & Administration Lead, supporting weekly payroll operations for a large workforce while maintaining data integrity across payroll and accounting systems.

This role is ideal for someone who thrives in a structured environment, enjoys working with numbers and processes, and takes pride in delivering accurate work under strict deadlines.


Key Responsibilities


Payroll Processing & Timesheet Management

  • Collect, validate, and process weekly timesheets across multiple business divisions
  • Manage timesheet submissions from online systems, PDFs, and Excel-based formats
  • Follow up missing, incomplete, or incorrect timesheets
  • Process weekly payroll for 300+ employees across multiple employment types
  • Apply correct pay rates, allowances, penalties, overtime, and award interpretations
  • Prepare payroll for review and approval by the Australian Finance & Administration Lead


Payroll Compliance & Administration

  • Maintain accurate employee records, classifications, tax, and superannuation information
  • Prepare payroll-related calculations including superannuation, payroll tax, and workers compensation allocations
  • Ensure payroll data complies with company procedures and audit requirements
  • Identify and escalate payroll discrepancies and anomalies


Invoicing & Billing

  • Generate weekly invoices based on approved payroll and timesheet data
  • Ensure correct charge rates, client allocations, and project coding
  • Maintain alignment between payroll records and client invoicing
  • Issue invoices accurately and within required deadlines


Accounts Receivable

  • Maintain and update aged receivables across multiple business entities
  • Monitor outstanding invoices and identify overdue accounts
  • Prepare accounts receivable reports for management review
  • Support collection activities and statement preparation
  • Escalate high-risk and overdue accounts when required


Accounts Payable

  • Process supplier invoices and maintain accurate records
  • Reconcile accounts payable transactions
  • Prepare weekly payment runs for approval
  • Ensure accurate coding and allocation of expenses


Reporting & Data Management

  • Prepare weekly payroll, invoicing, and financial reports
  • Maintain accurate records across payroll and accounting systems
  • Support client reporting requirements through structured spreadsheets
  • Ensure data accuracy and consistency across all systems


Systems & Process Management

  • Work within Astute Payroll, Xero, and internal reporting systems
  • Follow documented procedures and operational workflows
  • Identify opportunities to improve efficiency, accuracy, and process consistency
  • Maintain strong documentation and process discipline


Communication & Stakeholder Support

  • Work closely with the Australian Finance & Administration Lead
  • Provide clear updates on payroll, invoicing, and finance-related activities
  • Escalate issues relating to payroll discrepancies, billing concerns, missing information, and system errors
  • Maintain clear communication and task management throughout weekly payroll cycles


What We’re Looking For

  • Previous experience in payroll processing and accounts administration
  • Strong understanding of payroll principles, invoicing, accounts receivable, and accounts payable
  • Experience processing high-volume payroll within complex pay structures
  • Experience interpreting awards, enterprise agreements, allowances, penalties, and overtime calculations is highly preferred
  • Experience using Astute Payroll, Xero, or similar payroll and accounting systems
  • Strong Excel and spreadsheet management skills
  • Excellent organisational and time management abilities
  • High level of accuracy and attention to detail
  • Strong written communication skills
  • Ability to manage recurring deadlines and weekly payroll cycles
