Job Summary
The Virtual Assistant (Assistant Community Manager) plays a critical role in supporting the daily operations, communication, and administrative needs of HOA and condominium communities in Washington, DC. The role focuses on providing timely, accurate, and professional support to residents, board members, vendors, and the senior community manager. This position requires strong customer service skills, attention to detail, and the ability to manage and prioritize multiple ongoing tasks.
Key Responsibilities
Resident Relations & Communication
Respond to resident inquiries via email or management software in a timely and professional manner.
Track and follow up on open requests, ensuring issues are resolved or escalated appropriately.
Assist with community announcements, newsletters, notices, and general communication drafts.
Administrative Support
Maintain accurate records, logs, and community files.
Support preparation of board meeting packets, annual meeting materials, and monthly management reports.
Schedule appointments, inspections, and vendor site visits as needed.
Operations & Task Coordination
Submit and track maintenance work orders; follow up with vendors and residents for updates.
Review and update task lists and timelines to ensure completion of ongoing projects.
Assist with compliance tracking, including architectural requests, violations, and community rule enforcement documentation.
Financial & Contract Support (Light)
Assist with invoice logging, verification, and follow-up.
Track recurring contracts and service schedules (e.g., landscaping, cleaning, security).
Expectations & Performance Standards Professionalism & Communication
Respond to emails within 24 business hours.
Maintain a courteous and solutions oriented tone with all stakeholders.
Keep the community manager informed of all urgent or unresolved matters.
Reliability & Time Management
Be available and online during scheduled hours (9 AM–5 PM EST).
Manage workload efficiently and meet all assigned deadlines.
Proactively identify issues or delays before they become problems.
Attention to Detail
Ensure documents, messages, and records are accurate and properly formatted.
Follow all procedural steps, including logging tasks and documenting outcomes.
Confidentiality & Compliance
Handle sensitive resident and financial information securely.
Follow HOA/condo policies, management company protocols, and applicable DC regulations.
Required Skills & Qualifications
Prior experience in property management, HOA/condo support, or administrative assistance preferred.
Strong written communication skills; professional email etiquette is essential.
Ability to prioritize tasks and manage multiple responsibilities at once.
Proficiency in office software (email, spreadsheets, management portals).
