Why Are They Hiring an AI-Driven Operations Assistant?
Our client is hiring an AI-Driven Operations Assistant to take ownership of their automation systems and bring key workflows in-house. Right now, many of their Zapier integrations and backend processes are managed externally, and they’re ready for someone internally who can confidently manage, maintain, and improve those automations as the company scales. Your core focus will be keeping systems connected, clean, and running smoothly.
Beyond automations, you’ll also support light operational tasks like updating funding blueprints, organizing client data, and tracking important updates inside their CRM—ensuring everything stays accurate and structured. This role is ideal for someone who enjoys building efficient systems while supporting a fast-growing, high-performance team behind the scenes.
Qualifications & Availability
Must-Have:
- Strong hands-on experience with Zapier — you’ve built, maintained, and troubleshot multi-step automations confidently
- Solid understanding of how different tools “talk” to each other (CRMs, forms, Google Workspace, etc.)
- Tech-savvy and systems-minded — you naturally think in workflows, not one-off tasks
- Proactive problem-solver who spots inefficiencies and fixes them without waiting to be told
- Detail-oriented with strong data accuracy and organization skills
Nice-to-Have:
- Experience with Make.com
- Background in marketing operations, funding, or agency environments
- Bilingual in Spanish (BIG BONUS) – the ability to communicate in Spanish is a plus!
Responsibilities of the AI-Driven Operations Assistant:
Your responsibilities include:
Automation & Workflow Ownership
- Build, test, and maintain Zapier automations (Zaps)
- Update workflows as processes evolve
- Route data seamlessly across platforms (Typeform, CRM, G Suite, etc.)
- Create system triggers for automated status updates
- Transition third-party automations fully in-house
- Continuously audit workflows for efficiency gains
Blueprint Creation & Data Management
- Create and update custom funding blueprints based on client data
- Consolidate information from various sources (credit applications, Slack notes, sales notes, intake forms) into a structured Google Doc
- Perform basic calculations (addition, multiplication) for funding assessments
- Handle data entry tasks, including onboarding, deposit, and offboarding dates, as well as blueprint updates
- Input and organize data in Monday.com, pulling details from Slack, Google Docs, and intake forms
- Review credit inquiries (training modules will be provided)
- Manage blueprint adjustments and repetitive updates as needed
Task & Project Management
- Organize and track tasks from meetings, Slack communications, and voice memos to ensure timely execution
- Maintain and update Google Docs to support the leadership team’s documentation needs
- Update and organize files
- Create documents on an ad-hoc basis for different team members
- Ensure follow-ups are completed and action items from meetings are tracked and executed
