Job Title: Executive Assistant / Administrative Support (Client Operations)

About The Role

This role focuses on client operations and workflow management, primarily managing the TaxDome pipeline and client follow up. The Executive Assistant will act as a key point of contact, making outbound calls and messages to ensure clients stay on track, while also supporting backend workflows, document organization, and administrative tasks.

Responsibilities

  • Manage and monitor client progress in tax and other services workflows in TaxDome
  • Follow up with clients who have not submitted required documents or information
  • Make outbound phone calls, messages, or video check-ins to re-engage stalled clients
  • Assist clients with navigating TaxDome and understanding next steps
  • Manage backend workflows and data collection
  • Light calendar (Calendly) and email filtering support
  • Support operations during peak tax season (Feb–May) - organizing data and tracking information flow; monitoring accounts receivable and billing.
  • Updating, creating and managing pipelines in TaxDome
  • Organizing and categorizing transactions and running reports in Quickbooks.

Requirements

  • Strong English communication skills (email and phone)
  • Comfortable making outbound client calls
  • Experience with TaxDome or similar CRM/client management tools
  • Familiarity with QuickBooks, tax preparation and/or basic bookkeeping is a plus
  • Highly organized and able to work independently
  • Strong adherence to client confidentiality and security of all data.
