Job Description

An Administrative Officer plays a crucial role in ensuring the efficient functioning of an organization's office operations. This position requires an individual who can multitask effectively and manage various administrative duties daily. The Administrative Officer acts as a pivotal link between departments, ensuring that all business functions operate smoothly and efficiently. This role involves overseeing the office’s administrative systems, managing the office environment, and providing support to senior management. The individual should possess excellent organizational skills, be resourceful, proactive, and capable of working autonomously. Strong communication skills are essential as they would be the go-to person for staff and external partners, handling sensitive information with discretion and professionalism. This is a dynamic role that may require the Administrative Officer to handle a variety of tasks, making no two days the same.


Responsibilities

  • Oversee day-to-day office operations and coordinate administrative procedures for efficiency.
  • Develop and implement administrative systems to improve departmental productivity.
  • Serve as a first point of contact for visitors and manage reception duties effectively.
  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Manage scheduling and booking for meetings, events, and appointments for executives.
  • Support budgeting and bookkeeping procedures, ensuring all financial protocols are followed.
  • Maintain electronic and paper records, ensuring information is organized and easily accessible.
  • Prepare reports, presentations, and correspondence accurately and on time.
  • Assist with HR tasks such as recruitment, onboarding, and employee records management.
  • Oversee the maintenance of office facilities, equipment, and inventory supplies.
  • Resolve administrative problems by coordinating the preparation of reports, analyzing data, and identifying solutions.
  • Liaise with external partners, vendors, and service providers, managing contracts and negotiations as needed.

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field required.
  • Proven experience as an Administrative Officer or in a similar administrative position.
  • Excellent written and verbal communication skills for effective interaction.
  • Strong organizational and time-management skills with attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Proficiency in office software, such as MS Office, and familiarity with database systems.
  • Experienced in implementing administrative systems and improving office workflows.
