Job Description

An Administrative Officer is a key member of the management team, responsible for ensuring the smooth running of business operations. With a focus on improving efficiency and productivity, this role involves managing day-to-day administrative tasks such as coordinating schedules, overseeing office communications, and maintaining records. In addition, the Administrative Officer plays a critical role in developing and implementing policies and procedures that align with the organization's objectives. The position requires a combination of organizational skills, attention to detail, and the ability to communicate effectively across various departments. The Administrative Officer will also support management in project implementations, providing insights and recommendations to enhance operational processes.


Responsibilities

  • Maintain accurate and up-to-date organizational records and documentation.
  • Oversee the scheduling and coordination of meetings and appointments for staff.
  • Manage internal and external communications, including emails, calls, and correspondence.
  • Assist in the preparation and dissemination of organizational reports and presentations.
  • Develop and implement administrative systems to enhance office productivity.
  • Coordinate the procurement and supply of office materials and equipment as needed.
  • Ensure compliance with company policies and government regulations in administrative operations.
  • Support project management activities by tracking deadlines and deliverables.
  • Liaise with different departments to streamline communication and facilitate teamwork.
  • Provide training and support to new staff on administrative policies and procedures.
  • Handle confidential information with discretion and maintain data security protocols.
  • Monitor office expenditures and create detailed financial reports for management review.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Minimum of 5 years of experience in an administrative or similar role.
  • Strong proficiency in Microsoft Office Suite and office management software.
  • Excellent organizational and multitasking skills with strong attention to detail.
  • Proven ability to manage sensitive information with integrity and confidentiality.
  • Exceptional communication and interpersonal skills for a collaborative working environment.
  • Demonstrated ability to implement and manage office policies and procedures effectively.
