This is a leadership-focused administrative role designed for a mature professional who can take ownership of team operations and business processes. The position will start with learning the business operations and foundational administrative tasks, then progress into managing a team of three virtual assistants while supporting business growth. The ideal candidate will be proactive, highly accountable, and capable of working independently while maintaining consistent communication and oversight of team performance.

Responsibilities

  • Learn and understand all aspects of business operations, including property management processes and administrative workflows
  • Oversee and manage a team of three virtual assistants, monitoring productivity, accountability, and work quality using tools like Hubstaff
  • Provide regular reports on team performance, task completion, and overall operational efficiency
  • Handle administrative tasks such as file management, email management, calendar coordination, documentation, and meeting minutes
  • Identify process improvements and proactively suggest more efficient ways to manage tasks and operations
  • Ensure team members maintain proper work schedules, attendance, and professional standards
  • Serve as the primary point of contact between the team and management for day-to-day operations


MUST-HAVE REQUIREMENTS

  • Proven leadership or team management experience, with the ability to oversee and hold team members accountable
  • Strong administrative skills, including proficiency in Excel and standard office software
  • Real estate industry background with an understanding of property management operations
  • Excellent communication skills, with the ability to provide clear reports and updates
  • High level of maturity and ownership mentality, with a strong work ethic and accountability
  • Proactive problem-solving approach, rather than simply taking orders
  • Reliable internet connection and a professional home workspace setup


NICE-TO-HAVE REQUIREMENTS

  • Project management experience or relevant background
  • Experience using time tracking and productivity monitoring tools such as Hubstaff
  • Previous experience managing remote or virtual teams
  • Background in real estate property management
  • Experience building or improving operational processes and standard operating procedures
