Position: Remote Administrative Assistant
Work Hours: 8:00 AM - 5:00 PM EST (Tentative)
Pay Range: $1,200-$1,600/month (Final offer depends on client approval and overall assessment of candidate skills and experience)

Role Overview
As a Remote Administrative Assistant, you will be the backbone of operational support for our People + Culture and executive teams. You’ll keep calendars running smoothly, manage internal and external communication flows, handle administrative projects, and ensure follow-through on key tasks. This is a remote, offshore role where strong communication, initiative, and professionalism are essential.
Key Responsibilities
Executive Support: Manage calendars, schedule meetings, coordinate across time zones, and prepare briefing notes or agendas as needed.
Email + Communication Management: Monitor and organize inboxes for the VP of People + Culture, managed shared in boxes, and select executives; draft and respond to routine emails.
Travel Coordination: Arrange domestic and international travel plans, including itineraries, accommodation, and logistics.
Meeting + Event Support: Prepare materials, Teams links, meeting invites, and follow-up summaries; coordinate internal events or People + Culture team-related sessions, Center Leader virtual and in-person sessions, and Support Center meetings and events.
Document + File Management: Maintain organized digital filing systems (documents, HR records, reports) with attention to confidentiality and accuracy. Manage employer branding materials organization and distribution.
Task Management: Assist with tracking action items, deadlines, and deliverables from leadership meetings and cross-functional initiatives. Assist with basic content calendar updates and scheduling with approval for internal and external social media (Engage and LinkedIn) and Careers page. New hire onboarding coordination of welcome kits and orientation invitations.
Team Member Communication: Coordinate monthly team member email and text communications.
Reporting + Presentations: Support creation of simple reports, slides, or presentations for leadership meetings.
Cross-Department Liaison: Communicate professionally with internal teams and external partners on behalf of executives.
Special Projects: Provide support for ad-hoc tasks and special initiatives as directed (e.g., process documentation, People + Culture team project coordination.
Qualifications
Minimum 2+ years administrative or executive support experience (remote preferred).
Excellent written and verbal English communication skills.
Strong proficiency in Microsoft Office, Teams, SharePoint, and calendar systems, and task management tools (Monday, Asana, Notion, or equivalent), and Canva and Mailchimp knowledge and experience a plus.
Highly organized with strong attention to detail and ability to manage multiple priorities independently.
Reliable, proactive, and able to maintain confidentiality.
Comfortable supporting executives across time zones and prioritizing urgent tasks.
Resourceful thinker who takes initiative and follows through without constant direction.
