Job Description

An Admin Support professional is essential for ensuring the efficient operation of office functions within a company. This role serves as the backbone of administrative efforts, facilitating communication, organizing work, and supporting team members and managers. The position is often responsible for handling clerical tasks, coordinating meetings and events, managing information, and providing specialized assistance. The individual in this role must be highly organized, detail-oriented, and possess excellent communication skills. They should also demonstrate the ability to multitask and work well under tight deadlines. This role demands a proactive approach in delivering administrative services with a high degree of accuracy and within the stipulated timelines.


Responsibilities

  • Manage daily office operations to ensure that all tasks are completed efficiently.
  • Schedule and coordinate meetings, appointments, and travel arrangements for managers.
  • Prepare and edit correspondence, reports, and presentations, ensuring accuracy and clarity.
  • Maintain electronic and paper filing systems to store confidential and vital information securely.
  • Assist in preparing department budgets, monitoring expenses, and maintaining financial records.
  • Respond to phone calls and emails, providing information and acting as the company’s first point of contact.
  • Organize company events, workshops, and meetings, including logistics and scheduling.
  • Perform clerical duties such as data entry, photocopying, and scanning documents.
  • Coordinate with IT on equipment maintenance and troubleshooting to ensure smooth operations.
  • Conduct research as needed to support project requirements and corporate directives.
  • Monitor office supplies inventory and place orders as necessary to avoid shortages.
  • Prepare and process purchase orders, invoices, and other financial documentation.

Requirements

  • Bachelor's degree in business administration or a related field preferred.
  • Proven experience as an administrative assistant or in a related role.
  • Proficiency in MS Office Suite, including Word, Excel, and PowerPoint.
  • Excellent organizational, time management, and multitasking skills necessary.
  • Strong communication skills both written and verbal are required.
  • Ability to work independently with minimal supervision and as part of a team.
  • Professional demeanor, critical thinking, and problem-solving skills are essential.
