Job Overview

Our client, a video production and media agency, is looking for a proactive, detail-oriented Accounts Receivable Coordinator to join the team on a part-time basis. Youll work directly with the companys founder during a focused daily block to stay on top of the financial side of the business invoices, estimates, payments, and documentation.


Job Highlights

Schedule: Monday - Friday, 08:00 AM - 12:00 PM PST (20 work hours per week)

Work Arrangement: Work from home

Contract: Independent Contractor


Responsibilities

  • Prepare, send, and follow up on client invoices and estimates using Quickbooks/FreshBooks/Wave
  • Track outstanding payments and send reminders to clients with overdue balances
  • Organize and maintain financial records, receipts, and documentation
  • Reconcile transactions and ensure books are accurate and up to date
  • Draft and send payment requests, vendor payments, and expense reports
  • Build and maintain well-organized filing systems for contracts, proposals, receipts, and financial documents
  • Create, document, and refine repeatable processes and SOPs for all financial workflows
  • Coordinate with accountants or bookkeepers during tax season or audits
  • Provide a daily summary of financial tasks completed and items needing attention
  • Identify process improvements and leverage AI tools to streamline invoicing, payment workflows, and documentation
  • Ensure all deliverables, documents, and records are accurate, complete, and audit-ready
  • Some basic administrative tasks.


Requirements

  • Bachelors degree in Finance, Accounting, Business Administration, or a related field (required)
  • 2+ years of experience in bookkeeping, accounts receivable, or financial administration
  • Strong understanding of financial principles, invoicing workflows, and basic accounting practices
  • Proficient with FreshBooks, Wave, or similar invoicing/accounting platforms
  • Genuinely interested in AI and comfortable using AI-powered tools (e.g., ChatGPT, Claude, automated workflows) to improve efficiency
  • Exceptionally organized — you bring structure to chaos and keep systems running smoothly
  • Process-minded with a track record of building, documenting, and improving workflows
  • Meticulous attention to detail — you catch errors others miss and take pride in accuracy
  • Proactive and self-directed — you dont wait to be told what to do
  • Strong written communication skills for professional client follow-ups
  • Reliable internet connection and a quiet remote work environment
  • Experience in video production, media agencies, or creative industries is a strong plus — but a willingness to learn the language and workflow of production is just as valuable
