Job Description

We are a growing full-service digital marketing agency specializing in websites, social media management, and creative services. As the agency continues to scale, we are looking for a part-time, senior-level Virtual Assistant / Account Manager to act as a central point of coordination between clients, contractors, and internal workflows.


This role is ideal for someone with agency or marketing operations experience who is comfortable leading communication, managing projects end-to-end, quality-checking deliverables, and ensuring an exceptional client experience. This person will work closely with the founder and gradually take ownership of day-to-day client and project operations.


Key Responsibilities

Client & Account Management

● Serve as the primary point of contact for client communication once projects are underway

● Join client calls and confidently discuss:

○ Campaign direction

○ Requested changes

○ Recommendations for improving marketing performance

● Collect, clarify, and document client feedback in a structured way

● Follow up proactively with clients to keep projects moving

● Deliver monthly reports and updates related to campaign performance


Project & Workflow Management

● Manage incoming client requests via internal request forms

● Translate client requests into clear, actionable tasks for:

○ Copywriters

○ Designers

○ Video editors

○ Web team

● Assign tasks, track progress, and ensure deadlines are met

● Identify bottlenecks, delays, or communication gaps and resolve them quickly

● Provide regular summaries to the founder on project status, risks, and priorities


Quality Assurance (QA)

● Review deliverables before client submission

● Ensure work meets:

○ Client requirements

○ Agency standards

○ Campaign objectives

● Coordinate revisions and ensure feedback is implemented correctly


Client Onboarding & Experience

● Support the onboarding of new clients after a deal is closed

● Ensure clients understand:

○ How the agency works

○ Timelines and deliverables

○ Communication expectations

● Act as a trusted guide, especially for clients who are unsure of what they need


Light Sales Support (Warm Leads)

● Respond to inbound leads and inquiries

● Explain agency services, history, and capabilities

● Assist with proposals in collaboration with the founder

● Ensure a smooth transition from lead → signed client → onboarding (Cold outreach is not required at this stage, but openness to it is a plus.)


Required Skills & Experience

● Prior experience working in a marketing agency or similar environment

● Strong understanding of:

○ Digital marketing workflows

○ Campaign components (web, social, content, creative)

● Excellent written and verbal communication skills

● Confident speaking with clients on video and phone calls

● Assertive, professional, and comfortable setting expectations

● Highly organised with strong follow-through

● Able to think strategically and make recommendations to clients


Tools & Platforms

Experience with the following is strongly preferred:

● ClickUp (core project management tool)

● GoHighLevel (CRM, websites, social scheduling)

● Google Workspace (Docs, Sheets, Drive)

● Slack (internal communication)


Work Schedule & Structure

● Part-time: ~20 hours per week

● Time zone: Eastern Time (preferred)

● Fully remote

● Potential to grow into a full-time leadership role as the agency scales


Ideal Candidate Profile

● Senior-level VA, Account Manager, or Project Manager

● Comfortable working with founders and taking ownership

● Agency-minded (understands client expectations and deliverables)

● Calm, confident communicator who can guide clients who "dont know what they want"

● Long-term mindset, looking to grow with an agency, not just complete tasks


Engagement Notes

● This role replaces ad-hoc contractor coordination with dedicated ownership

● Strong communication and leadership presence are non-negotiable

● Marketing knowledge is required, but hands-on execution is not, this is a coordination, QA, and client-facing role
