Sales Support Specialist

Job Type: Full-Time

Work Hours: Monday to Friday, 7:00 AM - 4:00 PM PST, with a 1-hour unpaid break

Salary: $1,000 per month


Job Overview:

We are looking for a detail-oriented and customer-focused Sales Support Specialist to join a growing e-commerce business known for its creative and innovative approach to children’s products. In this role, you will support sales operations by managing order processing, handling customer inquiries, maintaining spreadsheets, and ensuring accurate data management across platforms. The ideal candidate is proactive, tech-savvy, and comfortable working in a fast-paced, team-oriented environment. This is a remote position that requires strong communication skills, critical thinking, and a commitment to delivering excellent customer service and administrative support.



Key Responsibilities:

  • Answer and manage inbound customer inquiries via email and chat requests by being friendly, empathetic, and professional in every interaction.
  • Compose outbound emails with tact, diplomacy, and respect with all internal and external stakeholders.
  • Assess, troubleshoot, and provide appropriate solutions and alternatives in a timely manner that provide a positive experience for the customer while ensuring that appropriate actions are taken to resolve customers’ problems and issues.
  • Document customer records accurately to reflect the status of services rendered at all times.
  • Prepare sales orders for order processing.
  • Build sustainable relationships and trust with customers through open and interactive communication, representing the company as the “face” of the company.
  • Utilize our platform to maintain, update, and edit database information including product and customer information.
  • Administer return policy according to Volcus policies and procedures.
  • Generate ad hoc reports as required.
  • Stay current on product information through research, taking action to learn the products.
  • Assist and comply with implementation of workflow continuous improvements.
  • Use Excel and Microsoft Office products to enter data and maintain spreadsheets.



Qualifications:

  • 1–2 years of sales order processing, administrative support, and customer service experience.
  • 1–2 years in business-to-business/marketing support experience, preferred.
  • High School Diploma required; Associate or Bachelor’s Degree preferred.
  • Inside/outside sales experience preferred.
  • Detail-oriented is a must.
  • Strong organizational skills with computer documents/spreadsheets, tracking, and recovery of documents/spreadsheets.
  • Order processing experience is strongly desired.
  • Requires heavy data entry.
  • Good working knowledge with Microsoft Office – advanced skills in Excel. Oracle NetSuite is a plus.
  • Excellent verbal and written communication skills.
  • Must have the ability to be flexible to perform in a fast-paced, quick-reaction environment, with a positive attitude.
  • Must be able to keep an even level of composure in all circumstances.
  • Goal-oriented; ability to work independently.
  • Effective problem-solving and critical thinking skills.
  • Ability to work harmoniously in a team environment.
