Job Summary
Enigmasoft Technologies is seeking a proactive, organised and technically curious Procurement & Supply Chain Executive to support its renewable-energy research and development activities.
The selected candidate will manage the sourcing of engineering components, materials, tools, fabrication services and consumables required for projects involving solar photovoltaic systems, Organic Rankine Cycle (ORC) systems, carbon-capture technologies and other sustainable-energy products.
The role includes identifying and evaluating vendors, obtaining and comparing quotations, negotiating commercial terms, preparing purchase orders and work orders after approval, monitoring inventory, tracking deliveries and maintaining complete procurement documentation.
Key Responsibilities
Engineering Procurement and Sourcing
- Work closely with the engineering team to understand component, material, equipment, fabrication and consumable requirements.
- Review bills of materials (BOMs), technical specifications, datasheets, drawings and approved purchase requests before initiating procurement.
- Search for suitable local, domestic and international vendors for mechanical, electrical, electronic and laboratory requirements.
- Source standard components, custom-fabricated parts, prototype materials, tools, sensors, valves, actuators, instrumentation, safety items and testing equipment.
- Research unfamiliar materials and components and develop a practical understanding of their specifications, availability and alternatives.
Vendor Evaluation and Commercial Negotiation
- Issue requests for quotation (RFQs) and obtain multiple competitive quotations wherever feasible.
- Prepare quotation-comparison statements covering price, taxes, freight, payment terms, warranty, quality, technical compliance and delivery lead time.
- Study market pricing and negotiate prices, delivery schedules, payment terms and other commercial conditions with suppliers.
- Evaluate vendors based on quality, cost, reliability, responsiveness and delivery performance.
- Develop alternative suppliers for critical items to reduce lead-time risk and dependency on a single vendor.
- Maintain productive vendor relationships while ensuring commercial and quality requirements are met.
Purchase Orders, Work Orders and Approvals
- Submit procurement recommendations and quotation comparisons to the authorised approver.
- Prepare and issue purchase orders and work orders only after receiving the required approval.
- Ensure orders accurately reflect approved specifications, quantities, pricing, taxes, delivery terms, payment terms and warranty conditions.
- Track purchase requisitions, approvals, open orders and pending commercial actions until closure.
Inventory and Consumables Management
- Monitor stock levels of engineering consumables, tools, safety items and frequently used materials.
- Establish and maintain minimum stock, reorder and safety-stock levels for regularly consumed items.
- Initiate replenishment requests before stock is exhausted while avoiding unnecessary overstocking.
- Conduct periodic physical inventory checks and reconcile stock against inventory records.
- Coordinate with engineering and stores personnel for material issue, return and stock verification.
Order Tracking, Logistics and Delivery
- Confirm orders with vendors and follow up on manufacturing progress, dispatch details and expected delivery dates.
- Track all open purchase orders and work orders and provide timely status updates to the Engineering Manager and relevant project teams.
- Coordinate with transporters, couriers and logistics providers for safe and timely delivery.
- Resolve delayed, damaged, incorrect or short-supplied deliveries and coordinate returns, replacements or warranty claims.
- Support receipt verification by checking quantities and coordinating technical inspection and acceptance with the relevant engineering personnel.
Documentation and Internal Coordination
- Maintain organised records of purchase requests, quotations, comparison statements, approvals, purchase orders, work orders, invoices, delivery challans, goods-receipt records and inventory transactions.
- Maintain a vendor database containing contact details, product categories, quotation history, pricing, lead times, payment terms and performance records.
- Coordinate with the accounts team for advance payments, invoice verification, vendor payments and reconciliation.
- Support procurement-cost tracking, budgeting and periodic procurement reporting.
- Maintain confidentiality regarding engineering designs, prototypes, supplier information and project requirements.
Qualifications And Experience
- Bachelor’s degree or diploma in Engineering, Supply Chain, Logistics, Business Administration or a related discipline. Candidates with a Mechanical, Electrical or Electronics Engineering background will be preferred.
- An MBA or postgraduate qualification in Supply Chain and Logistics Management will be an added advantage.
- One to three years of relevant experience in procurement, vendor development, inventory management, logistics or supply-chain operations is preferred.
- Strong fresh graduates with relevant internships, project exposure or demonstrated practical aptitude may also be considered.

- Ability to work independently, take ownership and meet deadlines in a fast-paced R&D environment.
Technical Aptitude and Candidate Profile
The ideal candidate should have a genuine interest in engineering, technology and renewable-energy product development. The role requires curiosity and the willingness to learn about unfamiliar components, materials, fabrication processes and supplier markets.
- Ability to understand basic engineering terminology, BOMs, datasheets and component specifications.
- Comfort communicating technical requirements accurately to suppliers and clarifying questions with engineers.
- Practical technical interests, engineering hobbies, personal projects or prototype-development exposure will be an advantage.

ROLE CLARIFICATION The candidate is not expected to design engineering systems, but must be able to understand basic technical requirements, interpret component specifications and support engineers through accurate and timely procurement.
