Job Summary:
The Contract Officer will support the Contract & Legal function across the full contract lifecycle—from drafting and review to execution, repository management, and renewal tracking—while also contributing to the maintenance and updating of organizational policies and terms and conditions. The role combines legal drafting and review support with strong documentation, system-level, and compliance responsibilities, and contributes to the establishment of the organization’s centralized contract repository. Key responsibilities include:
Reviewing and drafting routine and moderately complex commercial contracts, vendor agreements, NDAs, and correspondence, ensuring accuracy of key terms, obligations, and risk allocation before escalation to the Contract Expert.
Managing the end-to-end contract lifecycle—intake, drafting, internal review cycles, negotiation support, redlining, and execution—in coordination with the Contract Expert and relevant business stakeholders.
Drafting, reviewing, and updating standard terms and conditions, service terms, and template clauses used across ACE Group entities, ensuring alignment with commercial intent and applicable regulatory requirements.
Assisting in reviewing, drafting, and maintaining internal policies, SOPs, and governance documents, and supporting periodic policy review cycles to ensure continued alignment with regulatory and business requirements.
Uploading contract documents on CLM, entering correct metadata (effective dates, expiry, auto-renewals, parties, jurisdictions, financial terms), and maintaining the overall contract database.
Managing and updating logs for incoming, executed, expiring, and renewed contracts to maintain real-time visibility across departments.
Tracking contract renewal timelines and supporting proactive follow-ups with relevant departments to avoid lapses.
Managing document version control, ensuring consistency between drafts, executed copies, and updated amendments.
Supporting the Contract Expert in negotiations, clause benchmarking, and formatting of agreements, ensuring consistency of style, defined terms, and cross-references across the final executed document.
Maintaining contract archives, summaries, and compliance documentation aligned with internal SOPs, policy requirements, and audit readiness.
Coordinating with internal teams to collect required contract information and assist in contract-related reporting.
Candidate Profile
Bachelor’s degree in Law, Business Administration, or a related field.
2-3 years of experience in contract administration, documentation management, legal assistance, or compliance support.
Strong understanding of contract terminology, commercial clauses, and document formatting, with hands-on ability to draft, review, and mark up contracts, terms and conditions, and internal policies.
Excellent organizational and documentation skills, with the ability to maintain accurate logs, registers, and databases.
Familiarity with SharePoint, Jira, or any contract/document repository tools (preferred but not mandatory).
Prior exposure to reviewing or drafting terms and conditions, internal policies, or SOPs is an advantage, along with a working knowledge of standard commercial and confidentiality clauses.
Strong command over record-keeping, version control, and document archiving practices.
Ability to work with multiple departments and manage follow-ups for contract inputs and approvals.
Detail-oriented, disciplined, and capable of managing repetitive administrative tasks with consistency.
Good communication skills to coordinate effectively with internal teams and external vendors.
Ability to handle sensitive legal and commercial documents with confidentiality and integrity.
