Job Description
Job Purpose
The Purchasing Coordinator will play a key role in managing supplier relationships, onboarding new suppliers, and ensuring smooth operations across the supply chain. This position will also handle all general accounts payable queries related to suppliers, ensuring accuracy and compliance with company policies. The role requires a proactive, highly motivated individual who can work autonomously while collaborating effectively with internal teams and external partners.
Key ResponsibilitiesSupplier Management & Onboarding
Liaise with new and existing suppliers to establish strong working relationships.
Manage the onboarding process for new suppliers, ensuring compliance with company standards and regulatory requirements.
Maintain accurate supplier records and documentation.
Accounts Payable Support
Act as the first point of contact for all supplier-related accounts payable queries.
Resolve discrepancies and ensure timely payment processing in line with agreed terms.
Collaborate with Finance to reconcile supplier accounts and resolve issues promptly.
Review and control the GRNI report
Assist with AP SOX reporting
Assist with external and internal audits
Operational Coordination
Support procurement and production teams to ensure timely delivery of materials.
Monitor supplier performance and escalate issues where necessary.
Assist in continuous improvement initiatives within the supply chain function.
Compliance & Reporting
Ensure adherence to internal controls and SOX compliance requirements (as part of a US-listed entity).
Prepare and maintain reports on supplier performance and payment status.
Person SpecificationEssential Skills & Attributes
Relationship Building: Ability to develop and maintain strong supplier and internal stakeholder relationships.
Query Resolution: Skilled in investigating and resolving supplier and accounts payable issues promptly and effectively.
Autonomy & Initiative: Comfortable working independently, prioritizing tasks, and making decisions within defined parameters.
Motivation: Highly driven with a proactive approach to problem-solving and process improvement.
Communication: Excellent verbal and written communication skills for liaising with suppliers and internal teams.
Attention to Detail: Strong accuracy in managing data and financial transactions.
Experience & Qualifications
Previous experience in a supply chain, procurement, or accounts payable role within a manufacturing environment.
Understanding of ERP systems and supplier onboarding processes.
Knowledge of compliance requirements for US-listed entities (SOX controls desirable).
Proficiency in Microsoft Office, particularly Excel.
