Role Overview

The Workplace Services Coordinator IV – Events & Food is responsible for leading and coordinating Food operations and event management across UKG offices in India. This role ensures seamless service delivery, high-quality employee experience, and efficient workplace operations while aligning with global workplace standards.

The position requires a proactive and service-oriented professional who can drive operational excellence, manage stakeholders, optimize costs, and enhance workplace engagement through well-executed events and best-in-class F&B services.

Key Responsibilities

  • Lead and coordinate day-to-day Food & Beverage operations, ensuring high-quality service delivery and availability across the Noida office
  • Drive process improvements and operational efficiency to ensure smooth, well-organized, and professional workplace operations
  • Maintain inventory records and implement measures to reduce wastage in alignment with ESG goals
  • Manage and monitor costs within approved budgets, ensuring financial discipline
  • Lead and collaborate with stakeholders on end-to-end event planning and execution (both in-house and external), ensuring flawless delivery
  • Partner with global workplace teams to design and implement innovative programs that enhance workplace experience
  • Lead WPS events team activities, initiatives, and engagement programs
  • Work closely with landlords and vendors to ensure office facilities are maintained to required standards
  • Support new employee orientation by familiarizing them with office layout, services, and amenities
  • Plan and coordinate office maintenance schedules in line with defined timelines
  • Ensure understanding and adherence to vendor compliance and audit requirements
  • Raise purchase orders (POs) and manage the invoice processing lifecycle efficiently
  • Manage employee queries and oversee ticket resolution across the India region within defined SLAs
  • Ensure health & safety compliance in all day-to-day operations
  • Identify and propose continuous improvements to enhance the workplace environment
  • Collate, coordinate, and maintain regional data and reporting as required
  • Contribute to and support regional and global workplace projects and initiatives

Qualifications & Experience

  • Bachelor’s degree in any discipline (Hospitality or Facilities Management preferred)
  • Proven experience working in a corporate environment, with overall 10+ years of experience in Facilities Management, including at least 4 years of relevant experience in Events and/or Food & Beverage operations.
  • Experience managing soft services for large offices (100,000+ sq. ft.) is preferred
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint, PowerPoint)
  • Demonstrated experience in leading and managing operational tasks and projects
  • Strong customer service orientation with a focus on efficiency and quality delivery
  • Ability to manage multiple priorities in a fast-paced and dynamic environment
  • Highly organized self-starter with the ability to work independently with minimal supervision
  • Strong analytical, organizational, and presentation skills
  • Ability to make informed decisions independently
  • Excellent team player with strong collaboration and multitasking abilities
  • Strong verbal and written communication skills
  • Flexibility to work across different shifts as required by business needs
